Athletics Travel Operations Coordinator

Job Description:
**Responsibilities**:
- Coordinate all aspects of travel arrangements for varsity and club athletic programs as well as administrative units in the Division of Athletics and Recreation. Help source safe and cost-effective means of travel while collaborating with coaches and administrators to meet all travel needs.
- Coordinate with offsite travel agents to secure quality hotel and flight accommodations that are cost effective for away travel, recruiting travel, official visits and administrative travel.
- Coordinate with third party bus company to secure transportation for all home and away contests.
- Assist the Senior Business Office Manager with varsity sports programs on individual team travel budgets and annual budgeting process.
- Educate and train coaches and staff on travel procedures and policies. Create and maintain easy “how to” reference guides for travel procedures.
- Assist with payment and reconciliation for all team travel vendors.
- Verify monthly P-Card transactions for the Division’s travel card.
- Coordinate with varsity sports programs on itineraries for away travel and official visits as needed.
- Keep up to date records of all team travel information and itineraries.
- Assist teams and administration with ad hoc travel requests as needed.
- Exhibit the highest professional standards and ethical behavior with adherence to NCAA, Council of Ivy League Presidents, University, and the Division of Athletics and Recreation policies.
- Contribute to the maintenance of good working relationships with all members of the division and campus partners.
- Other duties as needed.
- Possess a willingness and ability to support a diverse and inclusive environment.
Minimum Qualifications
- Bachelor’s degree or equivalent combination of education and experience
- 1-2 years of related experience
- Strong organization skills and attention to detail.
- Aptitude to interact effectively with coaches, administrators, and vendors.
- Initiative to learn and grow in a fast-paced environment.
- Ability to multi-task and work cooperatively with others.
- Ability to prioritize work assignments and meet established deadlines.
- Proficient computer skills including word processing and spreadsheets.
- Excellent oral and written communication skills.
- Flexible, service-oriented and resourceful.
