**Essential Tasks, Duties and Responsibilities**

- Answer calls and return messages in a timely manner while maintaining a professional tone and work ethic.
- Make appointments in a timely fashion, keeping preference to clinician and patient preference to time of day in mind when making the appointment
- Assist with scheduling follow up appointments and procedures
- Take messages about medical questions and refer to clinical staff or physicians, as necessary
- Connect patient to the physician or other applicable clinical staff when there is an urgent need or when the patient is returning a callConnect patients to a member of the billing department when requested; assist with investigating any patient billing questions.
- Maintain responsibility for the master office schedule, taking into account office meetings, provider days off and vacations, school holidays, and the like. Ensure the master schedule is built out and available for appointment booking for 365 days from the current day.
- Type, print or otherwise prepare, mail or fax division documents (i.e. consult notes, patient letters, forms, and the like).
- Process medical record requests in a timely manner while ensuring HIPAA compliance; seek guidance from superiors as necessary.
- Complete intake form (patient demographics/referring physician) and request medical information from referring provider pertaining to the reason for referral.
- Retrieve division mail on a daily basis and review / handle / distribute promptly.
- Obtain insurance preauthorization for visits, tests or procedures, where required. Ensure patients have obtained insurance referrals for specialist visits, where required.
- Oversee billing and coding activities for the division
- Ensure insurance verification is completed when scheduling all patient appointments; contact patients and families to obtain updated insurance information, as necessary.
- Participate in regular division-focused revenue cycle meetings and improve upon any identified deficiencies.
- Ensure all charges are processed in the billing system on a daily basis. Monitor the billing and EHR systems for incomplete charts and billing and take necessary actions to resolve. Escalate issues promptly if unable to resolve timely.
- Address all assigned electronic “tasks” on a daily basis and work closely with the contracted billing service to resolve denials or other billing matters. Change processes and assist in educating physicians, where necessary, to mitigate denials or claim holds (i.e. invalid diagnosis coding, eligibility denials, etc.)
- Work in a collaborative and cohesive manner with other staff members and provide coverage for other divisions as necessary to maintain business hours Monday through Friday from 8am to 5pm. This will include answering phones while other staff are assisting patients, at lunch or otherwise away from the office, and taking messages, scheduling appointments and contacting physicians, among other responsibilities.
- Attend Quality Department and other administrative meetings as may be necessary from time-to-time (i.e. Patient Centered Specialty Practice (PCSP) activities, Operations meetings, etc.)
- Participate in pre-visit planning activities to support PCSP activities.
- Perform payroll functions, where applicable, including scheduling, inputting of benefit hours used, and the like.
- Demonstrate excellence in both internal and external customer service.
- Maintain excellent verbal and written communications skills and the ability to communicate effectively with all levels of staff; have political and human resource skills to effectively manage change.
- Be detail oriented and able to problem solve and handle multiple tasks efficiently.
- Be reliable and punctual and ensure adherence to all BCHP policies, procedures and employee handbook rules.
- Perform other duties as may be assigned by superiors.
