The Development Operations Assistant supports the representation of AFTD’s fundraising team both internally and externally, and is essential to the day-to-day operations of the Development Department. They maintain a strong focus on all donation processing and acknowledgement and support the team to drive vital donor engagement programs and donor relationships.

**Job Summary**

The Development Operations Assistant is responsible for creating and maintaining accurate and up-to-date donor records including donor contributions, acknowledgements, and other details that directly support and contribute to the cultivation and stewardship of AFTD donor relationships. They will promptly process and acknowledge all donations and will keep the Development Director, Development Operations Manager, and other staff informed of key donor interactions. The Development Assistant will support AFTD through the completion of shared general office duties, in cooperation with other Assistant-level staff in the organization.

**FUNCTIONAL RESPONSIBILITIES**

**Essential Job Functions**
- ** Gift Entry & Acknowledgement (50%)**:Process donations daily, at times in high volume, adhering to established protocols; ensure prompt acknowledgement of all gifts and track and adhere to special acknowledgement requests as they occur; perform daily accuracy checks on incoming donations including gift designations and classifications; organize and file all donation paperwork; support Tribute Program by keeping accurate Salesforce data on families designating memorial donations to AFTD and mailing tribute acknowledgements; assist with outreach to first-time donors and other donors as assigned
- ** Development Team Support (25%)**:Provide support to the Development team as needed, including assisting the Sr. Director of Advancement and Development Director with scheduling, meeting preparation and notetaking, expense reports, and other special projects as identified; assisting with mass mailings; keeping inventory of all Development materials and re-ordering as necessary; conducting prospect research and creating/maintaining donor profiles; assisting with documenting major donor, planned giving, and prospect interactions in Salesforce, as determined by Development Director and Development Operations Manager and current Salesforce protocols.
- ** Database Maintenance & Support (15%)**:Identify opportunities to refine processes and systems used by the Development & Events teams as needed to improve automation and accurate data entry for all donor information; manage acknowledgement letter templates in database; assist Development team with running reports and managing dashboards in Salesforce; assist Development Operations Manager in maintaining the team’s SOPs.

**Other Job Functions (10%)**
- Serve as the front-line resource for phone queries from donors and prospects; provide prompt responses to all requests.
- Assist with annual audit in collaboration with Director of Finance and Office Manager.
- Answer the main phone line and triage calls as needed as determined by shared general office duties with other Assistant-level staff in the organization.
- Monitor the AFTD Giving inbox daily, replying to promptly or escalating requests as needed.
- Travel for organizational meetings and events as needed.

**SUPERVISORY RESPONSIBILITIES**
- This position is an individual contributor and does not have supervisory responsibilities.

**Education**:

- Bachelor's degree or high school diploma plus equivalent experience will also be considered

**Experience**:

- 2 years of nonprofit experience or other relevant experience preferred
- Prior experience in an administrative role preferred. This can include volunteer activity.

**Special Knowledge/Skills**:

- Strong Microsoft Office Suite skills, particularly Word, Excel, and PowerPoint are required
- Salesforce or other CRM experience strongly preferred
- Database maintenance and management skills preferred
- Strong communication skills required, particularly written and verbal via telephone
- Strong organizational skills and attention to detail
