Office/Client Services Coordinator Job Description - Jackson Lewis

This position is located in the New York City office and reports to the Office Administrator.

Job Responsibilities:
Office Services - 40%
- Manage local vendor relationships, including but not limited to building engineers, furniture deliveries, HVAC, and document retention; support the evaluation and recommendation of new vendors as needed
- Monitor inventory and reorder supplies as needed
- Deliver incoming faxes, incoming mail and deliveries or call for pick up as appropriate
- Take mail to the post office and run errands as necessary
- Coordinate technology set up (AV and IT) for meetings and for some offsite events
- Maintain kitchens
- Maintain copy areas - ensure paper, toner, supplies and other necessary materials are available stocked
- Assist with various tasks as needed (mailing, labels, typing, copying, other production requests
- Coordinate facilities matters

Reception/Client Service - 40%
- Serve as backup for receptionist (during daily lunch hour and days out of the office) in welcoming clients, vendors and visitors and escorting them to the appropriate location; arrange transportation as needed.
- Serve as backup for the receptionist in answering incoming calls, gathering accurate information and directing callers accordingly. Provide telephone coverage for NOC and other local offices as needed
- Serve as backup for the receptionist in the booking of all conference room and guest office requests and all related correspondence
- Serve as backup for the receptionist in ordering, setting up and breaking down of catering for in-office meetings and events
- Provide daily desk reception desk coverage during lunch hour
- Provide reception desk coverage during scheduled and unscheduled absences

Administrative Assistance - 20%
- Assist with completing Concur reports for Associates
- Assist Office Administrator with special projects
- Other duties as assigned

Job Requirements:

- High school Diploma or equivalent required; college degree preferred
- 5 years experience in professional services environment
- Must be able to operate multi-line telephone, type 50 wpm and must be at least an intermediate level user of Microsoft Word
- Ability to lift up to 25 pounds
- Must be self-directed, able to follow instructions as needed, a team member and someone who takes initiative.
- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Must possess a commitment to excellence and high standards of accuracy and professionalism

For New York State, the expected hourly pay range for this position is between $24.60 and $36.80. The actual compensation will be determined based on experience and other factors permitted by law.
