**JOB SUMMARY**:
The Program Coordinator works closely with program staff to ensure each program runs efficiently and effectively. Maintains staff training tracker, manages monthly report submission, AIRS database management, and all other reports of the department. Drafts both routine and confidential correspondence, memos, and other documentation as required for the Program Coordinator, Directors, Vice President, and department management team.

Key Competencies:

- Working under the direction of the Senior Program Coordinator, assists in budget tracking for programs and monthly review of spending.
- Performance of administrative tasks which may be confidential in nature, including preparation of monthly reports, documents, and correspondence.
- Coordinate, monitor and process purchase orders for supplies/expenses to ensure efficient functioning for all department programs.
- Create and maintain tracking sheets for program supplies, equipment, trainings, travel, and incentives.

Description of Duties:

- Observe and abide by HIPAA and HIV Confidentiality Law.
- Responsible for data entry, data extracts, and timely delivery of programmatic monthly reports into their respective portals (AIRS and eShare).
- Process, maintain and track department referral tracker and send reminder notices to management team for upcoming and outstanding outcome updates.
- Assist Senior Program Coordinator with the establishment and maintenance of comprehensive updated Resource Databases specific to each program.
- Coordinate and attend department, All Staff, and other required meetings.
- Assist the Senior Program Coordinator in purchasing for programs (program & office supplies, food vouchers, gift cards), which includes preparation of purchase orders, check and/or credit card forms, collection and processing of receipts and packing slips.
- Maintain department databases for incentives, inventory logs, and equipment to ensure accurate and current information is available for Program Supervisors.
- Perform all duties with a strong customer service focus.
- Maintain electronic and physical program files and coordinate file storage with Department Directors and Supervisors.
- Maintain all passwords/account information for all equipment.
- Complete trainings as assigned by the Senior Program Coordinator.
- Be familiar with Cornerstone policies and procedures and the Employee Handbook.
- Maintain confidentiality of all aspects of Cornerstone including, but not limited to, patient confidentiality, financials, and employee relations.
- Perform other related duties as assigned.

**Requirements**:

- Minimum of High School Diploma.
- Minimum four years experience providing administrative support services.
- Proficiency in Microsoft Office: specifically Word, Power Point, Outlook and Excel.
- Excellent writing, communication and organizational skills
