**What we want**

The Administrative Coordinator II works under general supervision and coordinates administrative support for the Department of Humanities in Medicine with departmental activities to include the exercise of discretion and independent judgement with respect to matters of significance. This position will provide upper level administrative support to the department and includes coordination of travel, conferences, and special events, scheduling and department head calendar support, coordination of awards and faculty promotion and tenure packets, respond to the needs of faculty on multiple campuses, in addition to general administrative duties.

**Other Requirements and Factors**:Job hours for this position are 8:00 am - 5:00 pm but may require limited after-hours support.

**Required Education and Experience**:

- Bachelor's degree or an equivalent combination of education and experience
- Three years of experience in office administration

**Required Knowledge, Skills, and Abilities**:

- Ability to multitask and work cooperatively with others
- Interpersonal and communication skills
- Planning and organization skills

**Preferred Qualifications**:

- Bachelor's degree
- Three years of experience in higher education administration
- Experience in higher education, preferably Texas A&M University
- Served as the administrative support to multiple high-level administrators
- Experience in medical education
- Experience working with medical students, faculty and staff
- Experience working in an academic medical institution.
- Knowledge of Concur, Canopy, AggieBuy
- Proficient in Microsoft Office

**Responsibilities**:
**Office Administrati **on**
- Coordinates daily administrative support functions.
- Plans and coordinates administrative activities and services.
- Participates in the planning and execution of administrative operations.
- Assists in the development of administrative, special projects budget.
- Attends meetings or committees on behalf of supervisor/department.
- Analyzes program, project, or initiatives within the Department of Humanities.
- Monitors project timelines and identifies issues.
- Monitors and develops office procedures (Adapt, combines, and makes improvements to services, processes, or programs).
- Formulates, interprets, and/or implements management policies or operating practices.
- Develops administrative and technical procedures.
- Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
- May monitor compliance with policies and procedures.
- Performs special analyses and project summaries.
- Prepares and reviews operational and special reports.
- Coordinates office records retention and maintains office references and resources materials.

**Administrative Support to Senior Faculty**
- Provides dense scheduling and calendar support to senior faculty and office administration.
- Organizes various meeting logistics, which includes catering orders, room reservations (in person & virtual), and creating meeting minutes.
- Serves as backup support to the assistant director.

**Travel and Student/ Department Event Coordination**
- Coordinates travel arrangements and prepares itineraries for various administrators in the Department of Humanities in Medicine, including national and international educational programs.
- Plans and coordinates meetings and agendas, seminars, and other special events, including ordering of food, set-up and tear-down and other related event needs.
- Handles the submission of receipts and various required paperwork for the department payment card and DART card purchases.

**Inventory Control and Equipment Maintenance**
- Coordinates the maintenance of office supplies and equipment.
- Makes recommendations for process improvements, administrative changes, or new initiatives.
- Performs other duties as assigned.
