**Summary**:
The purpose of the Assistant Registrar is to assist and support the University Registrar in daily operations of the department, specifically in conjunction with duties related to student records, registration, internal and external reporting, curriculum coordination, and advising. Cross-training in all aspects of the Office of the Registrar will be required.

**Primary Duties and Responsibilities**:

- Maintain student files and ensure confidentiality of information according to FERPA guidelines.
- Process FERPA forms.
- Upholding compliance to all national and state standards, organization policies, and assist Registrar in development and implementation of effective strategies.
- Manage Advising module in the Student Management System.
- Communicate with deans to ensure accuracy of advisor listings.
- Create, maintain, and operationalize advising policy and procedures manual and participate in various advising trainings and conferences.
- Provide advising assistance to faculty and staff.
- Provide assistance in the scheduling of all students as needed.
- Create incoming freshman student schedules for students on the TN Campus.
- Prepare and process student documents and all other internal forms.
- Oversee student worker fulfillment of Parchment transcript requests and assist students with questions relating to the service.
- Transfer of records from paper and alternate storage systems into the Jenzabar EX student management system.
- Evaluate and input student transfer work into student management system, including all forms of credit for prior learning (CLEP, AP, Dual Enrollment, DSST, etc.).
- Prepare course schedule for all terms by working with Deans and Assistants.
- Develop and implement scheduling processes.
- Design final exam schedule for TN campus.
- Participate in assigned committees and activities and assist with all special projects.
- Create and present professional development for student workers including maintaining and updating The Office of the Registrar Policy and Procedure Manual.
- Participate in Commencement planning and execution in May and December.
- Assist Financial Aid with TN Hope Scholarship reporting.
- Work with the Registrar to complete Degree Audits.

**Supervisory Responsibilities**:

- Manage work study students, including professional development and evaluation.
- Office management of day-to-day operations.

**Knowledge, Skills, and Abilities**:

- Proficient in current versions of Microsoft Office Applications, including, but not limited to, Word, Excel, and PowerPoint.
- Ability to follow directions and be able to create documentation based on given criteria.
- Ability to answer questions and resolve issues encountered related student records and advising.
- Ability to provide support for training, as well as the creation of training manuals using materials submitted by the University Registrar.
- Ability to multi-task and attend to multiple details and be “on call” during normal working hours, functioning as help desk personnel to the faculty, staff and students.
- Ability to handle security issues to ensure the integrity of the documentation system.
- Must have a passion for change and a desire to learn.
- Ability to integrate and work within a faith-based environment.
- Proficient in use of the internal computer system as well as external resources.
- Proficient in the student management system Jenzabar, J1.

**Education and/ or Experience**:
**Education**:

- Bachelor’s degree is required.

**Experience**:

- Sufficient technology experience with programs such as Microsoft Office Suite (Word, Excel, PowerPoint, etc.), as well as general familiarity with computing is required.
- Prior higher education experience is preferred.
