**Responsibilities**:
Your essential job functions will include but may not be limited to:

- Coordinate event management with internal and external teams to include gathering leadership approval for events and engagements, disseminating information about engagement to relevant personnel, coordinating logistics with the event logistics team and media campaign with communications team.
- Monitor and report on the status and progress of work, checks on work in progress and reviews completed work to see that it meets the Director’s and/or senior program officer's leaderships instruction on work priorities methods, deadlines and quality.
- Oversee the maintenance and upkeep of program and administrative reference materials, project files and relevant background documents and makes available policies, procedures and written instructions.
- Create policies, procedures, and written instructions where none exist and gather approval to proliferate information from senior leadership amongst the team with periodic upkeep.
- Maintain current knowledge to answer questions from team members on procedures, policies, directives, etc.
- Prepare and maintains work records and administrative information, and coordinates the preparation, presentation and communication of work-related information.
- Maintain prompt communications with internal and external personnel.

Supports key SpaceWERX & AFWERX executive leaders by:

- Managing the SpaceWERX El Segundo Hub.
- Greeting, orienting, and taking care of visitors to the hub
- Setting up and running meetings at the SpaceWERX Hub and other locations:

- Scheduling, preparing for, and helping run meetings
- Coordinating meeting spaces
- Preparing and running presentations for meetings, AFWERX all-calls, and other meetings. Get presentation materials from leadership and integrate these into a cohesive briefing. Take notes during these meetings. Follow up on action items coming from these meetings.
- Managing, organizing, scheduling, and tracking all office processes
- Maintaining and coordinating communications with internal/external customers for or on behalf of the SpaceWERX Division Chief and senior leadership
- Managing, tracking and completing within a timely manner all headquarters taskers.
- Managing SpaceWERX directors calendar and appointments.
- Creating and/ or updating any additional documentation as tasked by the director
- Providing any additional administrative support to the SpaceWERX director as needed and serving as the first point of contact for external personnel establishing contact with him.
- Planning and managing travel for office members. This position requires infrequent travel.
- Creating, compiling, and reporting on surveys sending out surveys as necessary in aid of event management.
- Managing and organizing professional correspondence.
- Creating and maintaining shared online files for important documentation.
- Facilitating the onboarding of new personnel joining the team including military, government and contractors by following due processes.

**Qualifications**:

- 3+ years of experience is desired
- Excellent oral and written communications skills,
