**Procedure Coordinator Duties to include**:
Working hours are Monday
- Friday from 8am-5pm. Responsibilities include:
coordinating out-patient procedures with multiple hospitals and surgery centers, scheduling procedures, sending History and Physical as well as procedure orders, obtaining cardiac clearances, collecting necessary documentation for surgeries, send prep-prescription to patients’ pharmacy and discuss prep-instructions with patients over the phone. Sending text reminders to patients one week prior to procedure.
- **_Communicating with facilities_**:

- Reserving & confirming procedure blocks (Guidance from Dr Tamerisa)
- Adding blocks to the schedule listing facility and time which is available for provider to start and end time
- Informing facility of anesthesia coverage
- Confirming orders & h&p were received by facilities 5 business days ahead of time
- Confirming schedules with facilities and confirming if patient was notified
- Informing facilities of cancellations
- Reviewing the following information
- Patients on the schedule
- Procedures each patient is having
- Giving facilities any special instructions (ex: preferred start times)
- **_Scheduling_**:

- Reviewing and cleaning up overall procedure schedule
- Notifying Providers and anesthesiologist of procedure schedules start times
- Scheduling Open Access and verifying forms with patients prior to scheduling
- Scheduling and R/S procedures
- Cardiac clearance:

- MA to Create telephone encounter to track clearance and send to procedure coordinator then coordinator fax completed cardiac clearance sheet to physician’s office
- Do not schedule until clearance is received, unless indicated by MD/PA
- Cardiac Clearance after it’s been received
- If not received within 1 week, reach out to cardiology office directly
- R/S procedures per pt, facility, or physician request
- Cardiac clearance:

- MA to Create telephone encounter to track clearance and send to procedure coordinator then coordinator fax completed cardiac clearance sheet to physician’s office
- Do not schedule until clearance is received, unless indicated by MD/PA
- Prior Authorization’s for added procedures and Cigna EGD
- **_Sending the following: _**:

- Orders
- Updated H & P
- Prep and prescription to pharmacy (Double check)
- **_Patient Communications_**:

- Pre-Procedure Calls (currently hospital only; add all facilities)
- 48 - 72 hours prior to procedure (Must be documented under general notes in the appointment window)
- Appointment date, confirm if pt received the time of appointment from facility, location of procedure
- Making sure prep was received and all questions have been answered
- Making sure payments were collected for procedures
- Making sure f/u appointment was scheduled or cancelled (all EGD require f/u)
- Making sure medications were sent to pharmacy and prep
- Recall for procedures: phone call/sending letter; schedule patient for OV or send OA forms if appropriate
- Answering Phones
- Procedure APPREALS
- Additional assigned duties

Pay: $16.00 - $18.00 per hour
