Rate: $18-$25/hour
Skills & Qualifications
- Must be able to multi-task and keep up in a fast-paced environment, while meeting deadlines
- Must be professional and courteous at all times
- Must keep work areas clean and organized at all times
- Must have a valid driver’s license and be able to pass background/drug test
- **Must have at least 4 years’ experience working as an administrator, preferably in the construction industry.**
Duties
- Oversees general office operation.
- Answering phones, receiving packages/deliveries, intercepting clients
- Entering work orders and keeping track of progress
- Coordinate appointments and meetings
- Assist in job scheduling
- Work with vendors and Estimators/Project Managers to create estimates and proposals.
- Maintains Training database and schedule training sessions as required. Send training reminders out to team members.
- Submits Performance and Payment Bond Requests.
- Prepares Contracts for Subcontractors.
- Assist Project Managers with submittal package preparation and manages the submittal log.
- Assist Project Manager with Project Close Out Documentation preparation.
- Assist Project Managers with RFIs and manages the RFI log.
- Assist Project Managers with contract document management.
- Takes notes at meetings and distributes them upon completion of meetings.
- Ensures employees enter all time, materials, equipment, and job notes into corresponding work orders.
- Proficient in Microsoft office: Word, Excel, Power Point, Outlook
- Basic understanding of Electrical terminology a plus
Purchasing
- Process Purchase Orders.
- Be aware of all open PO’s and their statuses.
- Track missing items, parts that have exceeded their expected lead time, etc.
- Entering Vendor Statements.
- Reconciling vendor accounts.
- Accounts Payable duties, setting up payments with vendors.
- Budgetary requests, overhead requests.
- Ensure items have been received properly and marked in Jarvis.
Communication
- Breaches communication between field and office.
- Excellent written and verbal communication skills.
- Communicates with vendors, customers, Project Managers and field technicians to ensure efficiency.
Hours: 8:00 am - 4:00 pm
Pay: $18.00 - $25.00 per hour
Expected hours: 40 - 42 per week
