This role is pivotal in ensuring our crewmember records are accurate, up-to-date, and compliant with FAA regulations and company policies._

Key Responsibilities:

- Maintain comprehensive and accurate crewmember records; verify paperwork and enter records into the Navblue HR system.
- Conduct quarterly audits in compliance with OM-4 Vol.I and perform random audits weekly.
- Lead the transition to a fully digital records program; manage fillable PDFs of training paperwork and scan remaining paper files.
- Coordinate with Training Scheduling to produce a monthly training report showing all crewmembers due for recurrent training within a 90-day period.
- Manage the PRIA Program and related functions and communications related to Training Records (excluding HR / Drugs and Alcohol functions).
- Manage the Pilot Records Database (PRD) in accordance with FAA guidelines.
- Coordinate base months for training and arrange rebasing to align with off-season periods.
- Coordinate with Crew Scheduling regarding the qualification and status of crewmembers on the line and in training, including information on High Minimums, Green Pilots, and Consolidation of Knowledge and Skills.
- Implement and coordinate any new or revised record-keeping systems and related functions.
- Prepare (digital) training folders in advance for crew members.
- Manage notifications for crewmembers with expiring documents, such as Medicals, Temporary ATPs, and Passports.
- Perform other duties as assigned by the Manager of Crew Resources.

Qualifications:

- High attention to detail and strong organizational skills.
- Familiarity with FAA regulations and company policies related to crew records.
- Proficiency in using HR software, specifically Navblue, and managing digital records.
- Strong communication and coordination skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Prior experience in aviation record-keeping or a similar role is preferred.
