Saint Anselm College, a private, liberal arts college in the Benedictine tradition, is seeking a full-time, year-round Administrative Assistant to join the School of Nursing and Health Sciences. Reporting to the Director of Undergraduate Nursing, the Administrative Assistant will perform administrative and clerical duties and responsibilities for Nursing and the School of Nursing and Health Sciences, providing support through a variety of tasks related to the organization and communication to ensure the efficient operation of the administrative office. This position will effectively communicate ensuring that all duties are completed accurately and delivered with high quality in a timely manner.

Essential Functions:

- Perform receptionist functions, including answering phones and greeting visitors and students.
- Maintain Dean’s and Director’s meeting calendars, scheduling internal and external meetings.
- Coordinate visits of guests to campus, including meeting rooms and catering if needed, and provide general support to visitors.
- Maintain course attendance sheets and keep track of student absences.
- Manage course and faculty evaluations including the following:

- Update and maintain Evaluation Handbook and update any changes on Canvas.
- Set up on Canvas for specialty courses and end-of-the-semester.
- Set up for courses, faculty (course and clinical), and agencies on Canvas.
- Notify students when evaluations are published on Canvas and tally prior to finals.
- File and maintain completed evaluations for distribution to faculty and Director.
- Book travel arrangements
- Screen, sort, and distribute incoming mail. Prepare outgoing mail.
- Update and maintain faculty and student handbooks.
- Update and maintain School of Nursing and Health Sciences website as directed by dean and program director, in collaboration with Communications Department.
- Maintain and monitor faculty licenses and health requirements.
- Order department supplies.
- Maintain and distribute calculators, pencils, etc., as needed for exams.
- Collect syllabi and final exams for Dean’s office.
- Assist with planning and participating in new student orientation.
- Organize department celebrations in collaboration with the school’s administrative team.
- Notarize documents as needed.
- Assist program coordinator to convert paper documents to electronic files (as appropriate), scanning and shredding paper documents (as appropriate)
- Assist with mailings for SNA, Pinning, and Blessing of the Hands.
- Update department directory board and faculty mailboxes.
- Schedule rooms for department meetings, classes, and exams.
- Order name badges for new hires.
- Update plaques with end-of-year awards.
- Arrange for delivery and removal of shredding tote at end of the semester.
- Contribute to team effort by accomplishing related results as needed.

Other Responsibilities
- Contribute to the office team by assisting Program Coordinator with office tasks as needed.
- Other duties as assigned.

**Qualifications**:

- Associate or bachelor’s degree plus two to four years of relevant experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
- Strong work ethic, self-motivation, and independence
- Strong ability to meet deadlines, perform multiple work assignments in a timely manner, and maintain effective working relationships.
- Ability to complete tasks using creativity and latitude is expected.
- Ability to deal effectively with a wide range of college employees, School partners and students.
- An understanding of and appreciation for the strengths of an undergraduate liberal arts education in the Catholic tradition
- Demonstrated interest in, experiences with, and sensitivity to issues surrounding the diversity, inclusion, and equity.
- Strong math and writing skills.
- Ability to maintain confidentiality.
