Office Manager

**Job Summary**
Provide leadership with strategic thinking and exemplify excellent customer service. Ensure annual divisional initiatives aligned with company initiatives are completed. Ensure a quality team of properly trained employees produce jobs completed according to SERVPRO® Franchise procedures and processes. Hire, train, and manage a team of office personnel while monitoring compliance and risk management. Communicate with management staff to stay updated on jobs, documentation, budgeting, and any customer issues.
**Primary Roles and Responsibilities**
**1. Team Management**
- Manage Receptionist-Dispatcher
- Manage Job File Coordinator
- Manage Accounting & HR Administrator
- Coordinate and maintain company calendar and Franchise communication
**2. Financial Analysis, Key Measurements, and Compliance**
- Manage accounts payable, accounts receivable, and cash management
- Verify and analyze financial reports
- Verify and analyze divisional key measurements
- Monitor compliance and risk management
- Ensure employment files and records accuracy
**3. Human Resource Management**
- Manage Franchise compensation plan
- Manage Franchise staffing plan Each SERVPRO® Franchise is Independently Owned and Operated 2
- Ensure fulfillment of the training and development plans for all divisions
- Oversee performance management and documentation
**4. Annual Planning and Reporting**
- Document Franchise annual plan
- Document divisional performance
- Develop the office division annual plan
- Document and manage the office division performance
**Preferred Experience and Skill Set**
- 5+ year(s) of office, accounting, or customer service management experience - Experience in building a strong team with tangible leadership skills
- Solid organization and planning capabilities, strong attention to detail
- Demonstrated history of ability and growth in managing an office environment
- Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times
- Very self-motivated and goal-oriented with ability to multi-task
- Capability to work in a fast-paced, team-oriented office environment - Proficient in Microsoft Office (i.e., Outlook, Word, Excel) and QuickBooks®
- Experience in customer service industry environment a plus
**Formal Education/Training - High school diploma/GED**
- Associate/bachelor’s degree preferred
- IICRC certifications
- Proficient with Xactimate® estimating software
**Physical and Work Environment Requirements**
This is a largely sedentary role in an office environment. However, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
**Normal Working Hours, Additional Working Hours and Travel Requirements**
This is a full-time position working 7:00 a.m.4:00 p.m., Monday through Friday. This position may require longer hours, and some flexibility in hours may be needed dependent upon the business needs.
