**Job Description: Sales Assistant**

The Sales Assistant plays a key role in helping the GK SKAGGS Sales Team grow and develop beer, wine and spirit sales. This is an excellent opportunity to enhance the sales department’s effectiveness by providing exceptional service and support to the sales team and our customers.

Position based in corporate headquarters in Irvine, CA. Reports to: Vice President, Sales & Marketing

**Core responsibilities**

**Retail Customers**:

- Responsible to maintain all contacts, analyze sales data and maintain current records for all Retail and Distributor Partners, including all associated Corporate contacts.
- Independent Sales Initiatives: Responsible to data enter and analyze depletion and ending inventory sales data from all Retail and Distributor Partners
- Up-sell utilizing customer inventory and sales information, new product placement, and obtaining reorders
- Main point of contact for all Retail and Private Label buyers, distributor partners and all support personnel ensuring positive, consistent communication regarding program production information and schedules, pricing letters, sample requests for all tenders, new item forms and coordinate special buying programs
- Work with Retail Corporate support personnel on special requests, store follow-ups, production information requests, spec sheets, bottle shots, UPC verifications and label updates.
- Coordinates with all Retail and Distributor Partners to obtain pricing commitment sheets including PTR’s and PTD’s to make sure in compliance with GKS pricing structure
- Work closely with the logistics department to make sure Retail and Distributor Partners have sent in orders and orders are being processed timely in order to maintain inventory levels to avoid out of stock

**Core Distributors**:

- Process all monthly bill backs from start to finish ensuring each submission is accurate with proper back up from the distributor and submit to accounting in timely manner
- Annual Performance Plans
- work with sales to create performance plans, submit to distributors for approval, track approval and save data in Distributor folder as well as signed hard copies in the Distributor hard copy folders
- Coordinate with Portfolio Manager to track all distributor incentives and make sure Sales is informed of approved programming
- Constantly provides a high touch and high level of customer care support to all current, new and potential distributors and retailers from the moment the phone is answered throughout the entire sales process
- Supports 4 Regional Sales Managers by doing the following:

- Tracking and ensuring pipeline business/opportunities are followed up on
- maintain a task list
- On a weekly basis, each Friday, collects the weekly sales reports for all Sales Managers, creates scorecard and distributes to President/CEO for review
- Performance plan proofing and analysis
- Promotional programming support
- to ensure distributors are following GKS policies and procedures, implementing promotional programs.
- Processes all bill back programming approvals to ensure invoices and back up are received on time and data is accurate prior to submitting for approval
- Work with Controller and Portfolio Manager to monitor and report on sales department budget to ensure on track for the year
- Communicate any changes in distributor compliance to the General Manager

Other Responsibilities:

- Coordinates all Sample Requests
- obtaining approvals, working with Export Coordinator to source the samples, coordinate the delivery of all sample requests with all team members
- Updates Retail Chain tracker on a weekly basis and is responsible to deploy the updated tracker every Monday to entire sales team
- Plan all events the Company participates in coordinating registration, staffing at events, POS and samples
- Communicates to the entire logistics team about events to ensure sample availability and interfaces with Marketing Coordinator to ensure closure reports are submitted after each event is concluded.
- Monitors office supplies
- submits purchase order approval to General Manager for ordering
- Receives all sales travel requests and travel agenda, research rates and submits to General Manager for approval. Once approved work with Controller to book all travel components, air, hotel, car etc.
- Works with General Manager to manage phone system and copier issues
- Faxes documents, data entry, compiles sales reports, and participates in weekly meetings
