Receptionist/administrative Assistant

**Job Summary**:
As the first point of contact for our company, the Receptionist will play a crucial role in managing our front desk on a daily basis and performing a variety of administrative and clerical tasks. You will be instrumental in contributing to a welcoming office environment and ensuring smooth communication within and outside the company.
**Key Responsibilities**:
- **Front Desk Management**:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls ensuring professional and courteous communication.
- Ensure reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures).
- **Administrative Support**:
- Assist with various administrative tasks for the HR and Administration departments, including data entry, file management, and the preparation of meeting rooms.
- Support the HR department by assisting in the scheduling and coordination of interviews, employee orientation materials, and record keeping.
- Help organize and schedule office meetings and appointments.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
**Qualifications**:
- High school diploma or equivalent; further training in administrative services or relevant field is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Hands-on experience with office equipment (e.g scanners and printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
**Additional Requirements**:
- May be required to assist with special projects and event planning as needed.
- Willingness to learn new software or office systems used in administrative tasks.
Pay: $18.65 - $22.45 per hour
