The Office Assistant is responsible for greeting customers both in person and on the phone. They will also guide them to the correct department or person. This position will assist with clerical duties to support Office Manager or other departments.

**Required Education and/or Experience**
- High School Diploma or equivalent.
- 1-3 years of related experience.

**Supervisory Responsibility**

This position has no supervisory responsibilities.

**Qualifications**

All Service Motor Company employees are expected to have a friendly, positive attitude, a sense of urgency, and the ability to problem-solve. The following qualifications are required for this position:

- Strong computer skills (Microsoft Office and ability to learn other computer systems)
- Strong data entry skills (accurate and timely)
- Excellent customer service skills (answers phone with smile in their voice, greets customers and has cordial conversation as customers wait)
- Strong communication and organizational skills (uses oral skills, keeps written records organized and updates, easy to find information)

- Greets all customers at the dealership and guides them to the correct department or person using our customer experience standards.
- Answers incoming phone calls, transfers calls, and/or takes messages.
- Creates documents using computer programs such as Microsoft Word and Excel.
- Scans, photocopies, and files documents.
- Shreds confidential materials as required.
- Manages all mail, delivering or picking up from Post Office.
- Opens, sorts, and distributes incoming mail and prepares outgoing mail.
- Maintains and troubleshoots problems with office equipment.
- Fills vending machines and prepares refreshments for customers, as needed.
- Provides backup to Office Manager responsibilities as needed.
- Assists with projects using business system or Microsoft projects.
- Supports other departments for backup as needed. Cross trains in areas to support customer flow.
- Supports other stores call volume when needed.
- Performs tasks assigned by Manager as directed.
