Job Description Summary
The Senior Gifts and Records Administrator reports directly to the Director of Gifts Accounting, Administration and Records (GAA&R) and ensures GAA&R provides timely, accurate, and courteous service to Development Alumni Relations (DAR) staff and members of the Penn community. This position will provide oversight for the multiple data systems used to update and maintain data integrity in Atlas, DAR's complex alumni and donor database.

Job Description

This position is also responsible for training of internal and external DAR staff members at various levels of responsibility and will coordinate projects and work closely with the schools and centers and is responsible for regular outreach.

Responsibilities:
  • Acts as Data Administrator for the Penn Online Community. This position is responsible for creating setup codes and assisting/troubleshooting PennKey requests for Alumni, Volunteers, and Penn Parents. This responsibility requires significant external client interactions including Alumni and Volunteers.
  • Responsible for iModules tasks such as identity checkpoint, updating names, and memberships. Handles uploading events, worksets, and mass communications.
  • Create and/or modify records in Atlas, the database of record, for Development and Alumni Relations. Includes new record requests needed from bank wires and ACH.
  • This position will handle daily Atlas Help requests.
  • Assisting both DAR staff and alumni accessing and using MyPenn. Provide customer service and help troubleshoot issues for alumni by working closely with various Penn personnel including the Registrar, ISC, Wharton IT, and internal staff. This responsibility requires significant external client interactions including Alumni and Volunteers.
  • Assist in Salesforce project including testing and implementation.
  • Assists with routine daily responsibilities of DAR Records. Assist with special projects as determined necessary through data analysis or quality control reports. Create and/or modify records in Atlas, the database of record, for Development and Alumni Relations.
  • Records functions and data integrity tasks; significant external client interactions including Alumni, Donors, and Volunteers.
  • Work closely with Gifts Accounting & Administration and performs gift processing during peak periods.
  • Creates/review/update policies and procedures.
  • Must be punctual and demonstrate initiative, working collaboratively and accountability. Must provide excellent customer service.
  • This position is required to work during Winter Break, Alumni Weekend, and Homecoming. The work hours are Monday - Friday 9:00 a.m. to 5:00 p.m.

Qualifications:

High school diploma/GED; 5 years' experience in related functions, preferably in development and alumni relations or equivalent combination of education and experience required. Ability to communicate effectively and professionally, both verbally and in writing. Ability to handle confidential information appropriately. Highly organized and detail-oriented with high level of initiative, commitment to follow through, and willingness to assume responsibility. Demonstrated ability to manage and prioritize projects in a timely, effective manner. Ability to handle high volumes of work. Detail-oriented; self-starter. Ability to work effectively as part of a team and encourage others to collaborate. Enthusiasm for providing the highest level of service. Must demonstrate the ability to provide excellent customer service to a diverse group of alumni, development officers and other workers, and other professionals. Must be able to manage multiple daily tasks while working quickly, accurately, and independently. Demonstrated ability with Microsoft Office, Word, Excel, PowerPoint, and relational databases functionality. Ability to staff events as needed.
