    General Summary:
    The DOT Compliance Manager is responsible for the full lifecycle of DOT regulated employees from onboarding and compliance to retention. Responsible for Driver new orientation, onboarding, and continued training. Maintain compliance with DOT and FMCSA regulations to work with employees to ensure they are in compliance with all local and federal state laws and regulations along with company policies. Coordinates the preparation and completion of regulatory and compliance documents. The position will effectively evaluate, monitor, analyze and identify all driver compliance and non-compliance issues and resolve them in a timely manner.

    Primary Responsibilities and Duties:

    • Effectively evaluate, monitor, analyze, and identify all driver compliance and non-compliance issues and resolve them in a timely manner.
    • Responsible for conducting all tasks associated with:

      • Driver Qualifications Medical Cards/Physicals, CDL,
      • Annual Driving Records Driver Training
      • DOT regulations, Hazmat training (all areas required for our industry)
      • Driver Records Processing employment applications,

      • DOT required documents, company policies, CSA, MVR, criminal background, PEV
      • Create and actively participate in an engaging onboarding program that helps new hires fully integrate into our culture.
      • Conduct periodic audits of Drivers and Driver
      • Managers/Supervisors to ensure compliance and productivity through a fleet management and tracking software system.
      • Overall responsibility for electronic logs being in compliance with all DOT regulations.
      • Develop and manage process for Driver Log audit and corrections, including electronic logs.
      • Monitor and assist in the enforcement of DOT and FMCSA regulations to ensure compliance.
      • Responsible for ensuring proactive communication and training of the drivers in understanding the impact of the company s CSA score.
      • Manage processes for random drug screens and expiration list processes including driver s license and medical card renewal. Ensure that results are received and reviewed promptly.
      • Build strong relationships with managers and other key stakeholders to develop trust and make recommendations for ensuring compliance with Drivers.
      • Responsible for helping manage internal and external compliance reporting, providing compliance advice and assistance, conducting compliance investigations, manage on-going education programs.
      • Issue and maintain fleet cards for company drivers and company-owned power units.
      • Coordinate and request a Certificate of Insurance with our insurance carrier.
      • Process and manage all driver accident claims with our insurance carrier, maintain records, and work with adjusters.
      • Maintain roadside inspections and citations including overweight, traffic violations, etc.
      • Manage the Safety Management System (SMS) to ensure all recorded information is accurate and belongs to our company record.
      • Calculate and file quarterly fuel taxes for the company timely.
      • File Heavy Vehicle Use Tax annually and as qualified trucks are purchased.
      • Conduct the renewal and MCS-150 filing for the company every other year.
      • Validate and process the billing for background checks, drug testing, physicals, PrePass.
      • Act as the point of contact for uniforms and associated billing at all locations.
      • Selecting and supervising service agents such as third-party administrators, collection sites, laboratories, medical review officers, and substance abuse professionals.
      • Participate with department management in safety audits, investigations, inspections and any other projects as assigned by management.

        Position Requirements:

        • 5+ years of experience in transportation compliance.
        • Extensive knowledge of FMCSA and DOT regulations, hours of service (HOS) rules and exposure to electronic logs.
        • Knowledge of federal and state traffic laws and requirements for tractor/trailer equipment.
        • Proactive and goal-oriented individual with the ability to make decisions.
        • Previous fleet management and tracking software system.
        • Samsara experience a plus.
        • Self-starter with ability to take initiative and be an independent thinker.
        • Ability to define processes and procedures as well as initiate tasks related to job requirements.
        • Maintains the highest levels of integrity and confidentiality regarding company information.

          • Self-driven and motivated individual with excellent planning and organizational skills.
          • Display proficiency with Microsoft Office Word, Outlook, PowerPoint, etc.

            Working Environment:
            The work of this position is performed in an environmentally controlled office environment. This position requires the ability to work under pressure and communicate with a diverse population including other employees, customers, vendors, etc. This position also requires prolonged periods of sitting in a regular seated position as well as the use of general office equipment including phones, printers, computers, (mouse, keyboard, etc.)
