Job Overview

General Summary:

The DOT Compliance Coordinator oversees the comprehensive management of employees subject to DOT regulations, ensuring adherence from recruitment through retention. This role is pivotal in facilitating driver orientation, onboarding, and ongoing training. The Coordinator will uphold compliance with DOT and FMCSA standards, collaborating with personnel to guarantee alignment with all applicable local, state, and federal regulations, as well as company policies. This position involves coordinating the preparation and completion of necessary regulatory documentation.

Key Responsibilities:

  • Thoroughly assess, monitor, and identify compliance and non-compliance issues related to drivers, addressing them promptly.
  • Manage all aspects of:
    • Driver Qualifications – including Medical Cards/Physicals, CDL, and Annual Driving Records.
    • DOT regulations and Hazmat training pertinent to our industry.
    • Driver Records – processing applications, required documents, and compliance with CSA, MVR, and criminal background checks.
  • Design and engage in a dynamic onboarding program that fosters cultural integration for new hires.
  • Conduct regular audits of drivers and their supervisors to ensure compliance and productivity through fleet management software.
  • Ensure electronic logs comply with all DOT regulations.
  • Develop and oversee processes for auditing and correcting Driver Logs, including electronic logs.
  • Monitor and assist in enforcing DOT and FMCSA regulations to maintain compliance.
  • Facilitate proactive communication and training for drivers regarding the implications of the company's CSA score.
  • Manage random drug screening processes and ensure timely renewal of driver's licenses and medical cards.
  • Establish strong relationships with management and key stakeholders to foster trust and compliance recommendations.
  • Assist in managing internal and external compliance reporting, providing guidance, conducting investigations, and facilitating ongoing education programs.
  • Issue and maintain fleet cards for drivers and company-owned vehicles.
  • Coordinate with insurance carriers for Certificates of Insurance.
  • Process and manage driver accident claims, maintaining records and liaising with adjusters.
  • Oversee roadside inspections and citations, including traffic violations.
  • Manage the Safety Management System (SMS) to ensure accuracy in recorded information.
  • Calculate and file quarterly fuel taxes punctually.
  • File Heavy Vehicle Use Tax annually as needed.
  • Conduct MCS-150 filing for the company biennially.
  • Validate and process billing for background checks, drug testing, and physicals.
  • Act as the point of contact for uniforms and associated billing across locations.
  • Supervise service agents such as third-party administrators and medical review officers.
  • Collaborate with department management on safety audits, investigations, and other assigned projects.

Position Requirements:

  • Minimum of 5 years in transportation compliance.
  • In-depth knowledge of FMCSA and DOT regulations, including hours of service (HOS) and electronic logs.
  • Familiarity with federal and state traffic laws and tractor/trailer equipment requirements.
  • Proactive, goal-oriented with strong decision-making abilities.
  • Experience with fleet management software; familiarity with Samsara is a plus.
  • Self-motivated with the ability to take initiative and think independently.
  • Ability to define processes and initiate relevant tasks.
  • Maintain confidentiality and integrity regarding company information.
