The Opportunity

The position of Department Coordinator provides, with little supervision, provides administrative support to ensure efficient operation of the office, supports managers and employees through a variety of tasks related to organization and communication, are responsible for confidential and time sensitive material, and are familiar with administrative concepts, practices, and procedures.

RESPONSIBILITIES:

  • Organize and schedule appointments and meetings
  • Maintain contact lists
  • Purchasing responsibilities – create requisitions for purchase orders (one time purchases and also blanket Pos for vendors), tracking of purchase orders, communications with vendors pertaining to purchase orders and invoices
  • Invoicing Reconciliation
  • Produce and distribute correspondence memos, letters, faxes, and forms
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc .
  • Perform editing and formatting services
  • Provide transcription services
  • Prepare or generate regularly scheduled reports
  • Prepare and monitor invoices
  • Submit and reconcile expense reports
  • take and produce meeting notes
  • Research and create presentations
  • Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing
  • and expediting orders for supplies; verifying receipt of supplies
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems'
  • Review department records for accuracy and note any corrections needed
  • Photocopy and print documents on behalf of other colleagues
  • Implement clerical duties and administrative processes
  • Conduct data entry
  • Coordinate meetings and associated requirements
  • Perform other duties as assigned

BASIC QUALIFICATIONS I EDUCATION:

  • High school diploma or equivalent; college degree preferred
  • 5+ years of similar work experience
  • MS Office
  • Experience with Coupa and Esker

PREFERRED QUALIFICATIONS:

  • Prior experience in the regulated manufacturing environment (FDA, USDA, etc.)


The base pay for this position is $19.60 – $39.20 per hour. In specific locations, the pay range may vary from the range posted.
