Brief Summary of Job Duties Under the direction of the Center Director, the Humanities Administrative Support Center (HASC) provides the full range of administrative management functions and services for the Departments of History, Classics, Religious Studies, East Asian Languages and Cultural Studies, and several research centers and initiatives. The Student Affairs Manager is responsible for the oversight of all aspects of the Graduate and Undergraduate Student Affairs programs of HASC. Within the specific areas of Student Affairs, Curriculum and Project Management, Finance, Academic Personnel, and Space Management, the Student Affairs Manager independently identifies, analyzes, and solves problems in support of Departmental and University teaching and research missions. Ensures compliance with a wide variety of federal, state, and University policies and requirements. Identifies and analyzes critical factors and variables in the projection of programmatic development due to evolving economic, developmental, research, and curricular needs. Works closely with Department Chairs and Directors, providing analysis, advice, and resolution for a variety of issues or conflicts that may arise. Serves as departmental liaison to other campus academic and administrative units. Serves on campus and system-wide committees in the review and implementation of policy and programs. Develops and implements operating policies, procedures, and best practices to meet program goals and objectives. Serves as back‑up to the Academic and Financial Services Manager. For reference, below are UC's policies addressing some forms of misconduct: UC Sexual Violence and Sexual Harassment Policy UC Anti-Discrimination Policy Abusive Conduct in the Workplace Job Functions and Percentages of Time Student Affairs Management 30% – Provides oversight and support for departmental Staff Graduate Advisors, and approximately 200 graduate students across the four departments within HASC. Graduate program functions include administration of admissions processes including recruitment, and application review and processing; graduate student financial support such as fellowships, tuition waivers, academic student employment, and departmental block grant allocations; and academic advising including monitoring of student progress within the MA and PhD programs, ensuring compliance with departmental and University academic and time to degree requirements, and working closely with Graduate Division to process a variety of student petitions. Provides oversight and support for departmental Undergraduate Advisors, and approximately 900 undergraduate majors and minors across the four departments within HASC. Undergraduate program functions include student major and minor advising, and processing of a wide variety of requirement and registration petitions; quarterly scheduling and administration of over 400 courses and discussion sections including course creation using the Master Course Approval (MCA) System, monitoring of enrollments, issuing approval codes, and maintaining course waitlists; fulfilling DSP exam accommodation requests; maintaining and submitting accurate records of instructor workload, and submission of annual IRAL report; coordinating articulation agreements with other colleges and universities for transfer course work; assisting with administration of instructor and TA course evaluations; ensuring departmental information, including course offerings, staff contacts, and instructor information, is up to date on department websites and in the general catalog; and training and supervision of peer advisors. Supports Departments in planning and execution of annual commencement and awards ceremonies, participation in University events and activities such as job fairs and Spring Insight, and other events as necessary, including coordination of location, catering, awards certificates and prizes, event advertisement, and creation of departmental marketing and informational materials. Provides administrative support to approximately 130 permanent faculty, continuing lecturers, and temporary instructors. Serves as liaison between students, faculty, staff, other campus departments, and external agencies, analyzing any problems that arise and providing holistic solutions. Responsible for ensuring compliance with campus policies and procedures, and developing and implementing standardized operating policies, procedures, guidelines and best practices as they relate to overall department, center, and program goals and objectives. Curriculum, Project, and Finance Management 30% – Working closely with the Department Chairs and Curriculum Committees, the Student Affairs Manager facilitates the preparation of the academic year and summer session curriculum plans for all HASC departments, using careful review and analysis of historical enrollment and budget data, as well as a current understanding of departmental, divisional, and university curricular needs, to make detailed recommendations regarding course offerings, class sizes, and proposed instructional support and temporary instructor requests. Provides reports and data sets as needed for strategic curriculum planning, and actively participates in committee meetings. Prepares, submits, and manages the annual Temporary Sub‑0 budget of $2.42 million, analyzing budgetary allowances in relationship to departmental needs and making appropriate prioritization and funding recommendations to Departments Chairs as necessary. Identifies and makes recommendations for curriculum changes upon receipt of budget approval and throughout the year as changes to the needs of the department, division or university, or instructor or funding availability occur. Communicates regularly with the Dean's office regarding course offerings, instructional hires, faculty leaves and course releases, and Temp Sub‑0 funding; often serving as departmental liaison for funding requests, and submitting transfer of funds requests as necessary. Maintains detailed databases of funding availability and FTE utilization, including documentation of requests and approvals, making timely updates and communicating changes to appropriate HASC staff. Assists with reconciliation of all Sub‑0 payroll. Staff Supervision 20% – Provides staff supervision for 6.0 staff FTE in the HASC Students Services Unit. Duties include hiring, termination, training, evaluation, disciplinary action, workload distribution and analysis, and professional development. In conjunction with the HASC Director, develops job descriptions, evaluates staffing needs and makes recommendations for reallocating workload as necessary, prepares reclassification cases, and recommends merit increases and incentive awards. Responsible for training and orientation of new and continuing staff members with respect to Department and University policies and procedures. Establishes priorities and deadlines for completion of tasks. Develops and implements performance standards, meeting with staff regularly to provide feedback and conduct corrective action if necessary. Completes annual performance evaluations for 6 career staff members, maintaining detailed personnel files. Conducts staff meetings as needed. Provides professional guidance and support by working with individual staff members to identify and develop their career plans. Stays informed of professional development opportunities and encourages staff to participate in those that support their career goals and objectives. Responsible for leave reporting, and ensures compliance with University Personnel policies, Fair Labor Standard Act, collective bargaining agreements, and other State and Federal labor rules as appropriate. Academic Personnel Management 10% – Oversees the hiring and management of Academic Student Employees consisting of over 200 Teaching Assistants, 50 Readers, and approximately 20 Teaching Associates per year. Maintains a detailed knowledge of appointment processes, leave processes and policies, and related payroll transactions. Oversees the processing of disability and emergency leaves when necessary, differentiating and communicating academic leaves vs employment leaves for Academic Student Employees, and collaborating with Graduate Division to determine best courses of action based on each unique circumstance. Space Management 10% – Oversees and ensures appropriate utilization of approximately 200 departmentally controlled spaces including staff and faculty offices, conference rooms, administrative/supply rooms, and libraries. Implements and maintains a cooperative reservation system for conference rooms shared by all departments in HASC, and ensures efficient scheduling practices. Works with Department Chairs to analyze and project departmental space needs, and makes recommendations accordingly. Works with current and new faculty to coordinate office assignments and office moves, and allocates space for all temporary instructors and visiting scholars on a quarterly basis. Maintains detailed database of office utilization. Serves as a liaison to Budget and Planning, College of Letters and Science space management unit, Facilities Management, and Environmental Health and Safety. Completes annual space audit report.
