Manager for Faculty AffairsWorking independently under the supervision of the Associate Provost for Faculty Personnel and Policy, the Manager for Faculty Affairs will develop, manage, execute and assess processes and workflows related to union reporting obligations, communications, and training. The incumbent will work with dean partners and the Faculty Affairs team to assess and improve policies and procedures relating to bargaining unit member hiring, evaluation, promotion, grievance and termination. They will manage the union section of the Faculty Affairs website and provide administrative support for Labor Management, Collective Bargaining, and other union-related governance groups. They will also provide administrative assistance to the Collaborative Governance Specialist to support the work of the Faculty Senate.The Manager will be a key member of the Faculty Affairs team, with knowledge of and commitment to SCU faculty, exceptional customer service skills, and a willingness to support the work of the Faculty Affairs team and collaborative governance at the University. Demonstrating initiative to generate a daily schedule and work flow, the Manager will represent the Provost's Office in relationships with bargaining unit faculty, and in collaborations with department chairs and managers, dean's office staff, Human Resources, Faculty Development, Research, Institutional Research, Information Technology, the Office of Assessment, the Faculty Senate, and external vendors.Essential Duties and ResponsibilitiesIn support of the Associate Provost for Faculty Personnel and Policy, the Manager for Faculty Affairs and Governance will help achieve program priorities including:Non-Tenure-Track Faculty Bargaining Agreement PlanningResearch issues and develop recommendations related to the non-tenure-track faculty collective bargaining agreement.Analyze faculty data related to members in the collective bargaining unit and prepare reports for the Provost's Office.Support the planning and implementation of the non-tenure-track faculty collective bargaining agreement.Non-Tenure-Track Faculty Bargaining Unit Policies and ProceduresDevelop and refine University procedures relating to bargaining unit member hiring, responsibilities, evaluation, promotion, grievance and termination.Provide regular updates on progress to the University and Labor Management team.Help facilitate regular training on issues related to collective bargaining.Maintain the Provost's Office website on collective bargaining.Non-Tenure-Track Faculty Bargaining Unit Payroll AuthorizationsManage receipt of payroll authorizations from union and communication of deductions to Payroll.Maintain records of payroll authorizations for union dues and voluntary deductions.Help facilitate communication between Payroll and SEIU Local 1021 on a secure portal.Maintain records of those temporarily or permanently excluded from the bargaining unit and manage payroll obligations accordingly.Non-Tenure-Track Faculty Bargaining Unit ReportingPrepare monthly reports on bargaining unit faculty members relating to job title, department, school, contact information, FTE, course-load, and compensation; identify new hires and terminations.Prepare regular reports related to hiring, professional development fund use, and evaluation in collaboration with the College and schools.Prepare regular reports for teaching-track faculty placement in rank and progress in reappointment and promotion.Prepare quarterly reports of bargaining unit faculty members eligible for laptop computers for Media Services.Faculty Senate SupportProvide administrative assistance to the Collaborative Governance Specialist to support the work of the Faculty Senate. Specific tasks will be identified and managed by the Collaborative Governance Specialist with consultation from the Associate Provost for Faculty Personnel and Policy.Draft reports and minutes, prepare meeting slide decks, manage meeting attendance, support meetings in the absence of the Collaborative Governance Specialist, and track Faculty Senate business as needed, at the direction of the Collaborative Governance Specialist.Maintain lists of faculty for Faculty Senate communications and update discussion group membership, as needed, at the direction of the Collaborative Governance Specialist.Assist with the preparation of ballots and email communications relating to Faculty Senate elections, as needed, at the direction of the Collaborative Governance Specialist.Maintain the Faculty Senate website, Bylaws, and Election Rules, as needed, at the direction of the Collaborative Governance Specialist.Other duties as assignedProvide support for relevant task forces and special initiatives, as needed.Responsibilities related to the non-tenure-track faculty bargaining unit represent approximately 75% of the work hours for this position; the remaining work hours entail providing administrative support to the Collaborative Governance Specialist as needed.General GuidelinesRecommends initiatives and implements changes to improve quality and services.Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.Maximizes productivity through use of appropriate tools, planned training and performance initiatives.Uses independent judgment to research and develop resources that create timely and efficient workflow.Establishes work flow and manages projects independently: prepares progress reports; informs supervisor of project status and deviation from goals.
