Position Summary

Sinclair Community College is a comprehensive community college serving approximately 33,000 students per year at its five locations and online. Our campus in downtown Dayton, Ohio, is among the largest community college campuses in America.

The Administrative Assistant for the Health Sciences Department provides a wide variety of administrative support to the Department Chairs, Program Director, full-time faculty, and adjunct faculty in a manner that enables the departments to operate efficiently and professionally. This position provides high level customer service to current, future and past students as well as other internal and external customers for the departments, division, and the college.

The minimum salary for this position starts at $33,827.00 and is determined commensurate with education and experience.

Principal Accountabilities

· Greet students, visitors, faculty and staff in professional manner, answer questions, problem solve where applicable, and refer appropriately

· Answer incoming phone calls efficiently and professionally from students, internal and external customers

· Communicate appropriately to email inquiries and communications

· Schedule appointments for students and visitors to meet with Department Chairs, Program Directors, and full-time faculty

· Support department-based Administrative Assistants to monitor and maintain inventory of office supplies for departments and division; order, process, receive supplies

· Initiate appointment requests for meetings; coordinate booking appropriate meeting room and food requisition processes where applicable

· Perform BCI background screening for students and staff

· Process incoming and outgoing mail correspondence

· Order duplication, receive duplicated materials and distribute appropriately

· Process work order requests and help desk tickets as needed

· Review and maintain identified departmental websites within the division

· Create and relay appropriate communications to program applicants

· Other duties as assigned

Requirements

· Minimum of a High school diploma or GED required; Associate’s level degree in related field preferred

· Minimum of 2 years Administrative Assistant/Office experience required

· Demonstrated knowledge of Microsoft Office: Word, Access,PowerPoint, Excel, Outlook required

· Strong computer skills with ability to master proficiency in applicable software systems used by the college required

· Excellent organizational and time management skills required

· Current Notary Certification preferred or ability to obtain Notary Certification required within six (6) months

· Attention to detail required

· Professional communication skills to include: oral, written; interpersonal; and telephone etiquette with a strong desire to assist people preferred

· Ability to provide customer service in a responsible manner by being knowledgeable, supportive, ethically aware of diversity and cultures, and treating each customer with respect preferred

· Initiative, problem solving, and process improvement skills required

· Federal background check required
