Position Summary:

The Reservations Assistant Manager is responsible for assisting the Director of Reservations in leading the Reservations Department to ensure efficient and accurate operations by providing direct support to the Reservations department carrying out duties as assigned by the Director of Reservations. The role focuses on learning all aspects of social and group reservation processes as well as managing and supporting the Director of Reservations, Social Sales and Group Reservations Agents. The Reservations Assistant Manager collaborates with and works strategically with the Director of Reservations to achieve/exceed the Resort's budgeted goals.

Position Duties/Responsibilities:

  • Pulls weekly data reports from the resorts PMS, Revinate golf system, and external resources and exports into Excel worksheets.
  • Researches changes in basic data. Working with group sales on any rate or room night issues.
  • Key in transient room rates and packages as Director of Reservations determines.
  • Maintain log on all Maestro rate yields.
  • Monitor room assignments for optimal front desk and housekeeping operational efficiency.
  • Prepares packages for social arrivals and audits group package set up / arrival readiness
  • Keeps current business standards and office procedures in place while implementing.
  • Coordinates and attends meetings to take minutes and assist with presentations as needed.
  • Creates, prepares, and distributes business documents as required.
  • Prepares daily, weekly, and monthly reports as requested by the Director of Reservations and distributes as required.
  • Identify and establish best practices for department efficiencies and service standards.
  • Administrative duties include: answering telephone, typing correspondence, retrieving and distributing mail, among other duties as assigned. Collaborate, support and work strategically with Director of Reservations
  • Other duties as assigned.

Guest Service/Conduct:

  • Meet, on a daily basis, the personal appearance and uniform standards as identified by the Shanty Creek Resorts Employee Handbook.
  • Utilize all tools provided to ensure that prompt and correct service and information is being given to our guests.
  • Conduct themselves in a professional manner at all times, maintaining the highest standards of guest service in their interactions with fellow employees, vendors, and most importantly our guests.
  • This position requires extensive guest contact and decisions that directly affect the experience of Shanty Creek Resorts’ group clients. Adherence to the Resorts’ standards of service is critical to the success of the incumbent.

Professional Experience:

This position benefits from 6 to 12 months of professional experience in reservations or front desk in a hotel/resort setting.

Education:

A minimum of a High School Diploma or equivalent is required for this position, Associate’s Degree in related field is preferred.

Required Skills:

  • Strong oral and written communication skills are required.
  • Must have excellent typing skills (45 wpm minimum)
