Position Overview:

The Administrative Assistant (AA) will provide essential support to the

management and executive team, ensuring smooth daily operations. The ideal candidate

will be detail-oriented, reliable, and have strong communication and decision-making

skills.


Key Responsibilities:

• Answer and direct incoming phone calls professionally.

• Accurately enter accounts payable transactions and handle invoices.

• Prepare checks in compliance with the company’s payable policies.

• Manage office files, including job and vendor documentation.

• Oversee office maintenance, equipment, and supply procurement.

• Welcome visitors and direct them appropriately.

• Prepare and maintain subcontractor agreements, insurance, and waivers.

• Ensure up-to-date DOT record management.

• Create and send cash spending reports using Excel.

• Assist with team collaboration, process improvements, and analysis.

• Perform other duties as assigned by supervisors.


Qualifications:

• Proficiency in accounts payable and QuickBooks Online.

• Intermediate skills in Microsoft Office Suite.

• Detail-oriented with strong multitasking abilities.

• 5+ years of experience in an administrative role.

• Preferred experience with Sage 100.

• Commitment to the company’s vision and goals.
