Job Description:

The Manager, Intellectual Property (IP) Docketing is responsible for managing the docketing staff and overseeing the workflow and performance of the IP Docketing Team. This position ensures compliance with all filing due dates and IP docketing processes and takes the lead in outlining docketing policies and overseeing the firm's IP annuity process. A hybrid work schedule is available for this position.

Responsibilities:
  • Manage the workflow and performance of the Intellectual Property Docketing team, including providing ongoing feedback and coaching, and evaluating overall performance.
  • Determine training needs and gaps and work closely with the Director, IP and the Docketing Coordinator, to develop a training schedule and facilitate training on IP docketing topics for new docketing hires and existing team members. Lead the integration of new docketing staff.
  • Take lead in maintaining existing IP docketing processes and help develop new procedures to improve the efficiency and accuracy of the IP docketing team.
  • Recommend and implement process improvements and streamlining workflows in close partnership with the Director, IP.
  • Under the guidance of IP attorneys, serve as a subject matter expert on IP docketing laws, regulations, and procedures; serve as a first-level response to questions and issues from staff and departmental practitioners.
  • Maintain and further develop the country law files as well as the auto-docketing configuration in the IP docketing system.
  • Run weekly discrepancy reports to verify that no matters or deadlines have been deleted, new records have been opened based on NBI requests, and ensure the Zero Docket Policy for statutory actions has been completed.
  • Serve as an escalation point for the team, and act as a liaison to IT and outside vendors on IP docketing matters and processes.
  • Work closely with the docketing coordinator to manage docketing software application; serve as subject matter expert, key contact, and liaison with IT.
  • Maintain consistent flow of information to the practice group, including rule changes, practice-related announcements, etc.
  • Coordinate and supervise the handling of the patent and trademark annuity process.
  • Oversee client file transfers, both incoming and outgoing, to ensure these are facilitated in accordance with established procedures.

Job Requirements:
  • 5-7 years of IP experience, preferably within a law firm or professional services environment. Prior management of IP staff (or similar) is required.
  • Bachelor's Degree or equivalent work experience.
  • Extensive knowledge of US and foreign patent and trademark prosecution procedures. This includes statutory and filing deadlines.
  • Demonstrated leadership, organization, and time management skills.
  • Excellent interpersonal, organization and communication skills, both verbal and written.
  • Demonstrated ability to handle highly confidential information.
  • Strong attention to detail with the ability to manage multiple tasks and deadlines.
  • Proficiency in windows-based software, including Microsoft Office Suite and document management systems (i.e., NetDocuments).
  • Proficiency in IP docketing systems.
  • Ability to work on a team, build relationships, express ideas effectively and maintain a positive atmosphere.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows:

  • Chicago, IL: $101,423 to $150,647
  • Washington, DC: $105,833 to $157,197
  • Boston, MA: $105,833 to $157,197
  • Los Angeles, CA: $105,833 to $157,197
  • San Francisco, CA: $110,243 to $163,747

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
