GENERAL SUMMARY:The Chief of Staff will play a pivotal role in ensuring the efficient and effective operation of GLI. This individual will work closely with the President & CEO to manage organizational priorities, streamline operations, and drive strategic initiatives. The ideal candidate is a strategic thinker, exceptional communicator, and skilled project manager with a deep commitment to GLI's mission.
ESSENTIAL DUTIES AND TASKS:1) Provides support to the President & CEO by leading strategic projects, prioritizing initiatives, and implementing organizational strategies, including process improvements and organizational change efforts.2) Interacts with staff on behalf of the President & CEO when needed, including handling interactions when the President & CEO is out of the office, reflecting the CEO position on internal issues, scheduling meetings, and other duties as assigned.3) Prepares for and coordinates internal meetings and documents key topics, outcomes and action items; reviews, assesses, routes, answers and monitors follow up action steps.4) Represents the President & CEO in external meetings, events, and other activities when the President & CEO is unavailable.5) Supports fundraising efforts as needed. Builds and maintains relationships with key stakeholders, including donors, partners, and community leaders. Identifies new revenue streams.6) Provides counsel on various issues, helping to make informed decisions, and offering insights into organizational dynamics.7) Gathers and analyzes information required for administrative reporting. Prepares reports as needed. Helps monitor progress on goals and milestones.8) Manages and supports the Executive Assistant to the President & CEO to coordinate, prepare, and execute routine correspondence and other written materials, meeting notices, minutes, agendas, expense reports, etc. Manages complex calendars, arranges for meetings, appointments, and travel arrangements.9) Proofreads documents as needed for external distribution.10) Helps ensure that communication between the CEO, Board, and other senior leaders is clear, timely, and effective.11) Oversees board administration, including but not limited to orientation, pre-reads, attendance tracking, schedules, and board lists.12) Manages governance processes, nomination materials, logistics, and communications.13) Assists in the preparation and execution of Board meetings and related activities.14) Manages and supports the VP of Finance & Administration to oversee HR functions, facilities, administration, and responsible financial management of the organization.15) Monitors all contracts requiring CEO signatures for a) proper review and sign off and b) ensuring archive copies. Maintains files for all signed contracts.16) Ensures administrative capacity is effectively deployed throughout the organization.17) Helps ensure the organization's policies and procedures are effectively implemented.18) Other duties as assigned.


MINIMUM QUALIFICATIONS:

  • Bachelor's degree plus ten (10) years of administrative support experience. A combination of education and experience may be substituted when proficiency is demonstrated.
  • At least five (5) years of experience in a senior management or leadership role, preferably within a non-profit organization.
  • Must have excellent communication skills, both oral and written, and the ability to work with top level executives.
  • To perform this job successfully, an individual must be capable and willing to follow through and manage tasks and workload independently (with little supervision).
  • Proven experience in managing complex projects and cross-functional teams.
  • Ability to identify untapped revenue streams.
  • Ability to develop and implement strategic initiatives that align with organizational goals.
  • Solid working knowledge of office processes and business policy development.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
  • Ability to work across teams and with a variety of projects and constituencies.
  • Flexibility to manage changing priorities and a dynamic work environment.
  • High ethical standards and the ability to handle confidential information responsibly.
  • Ability to work under pressure and manage crises effectively.
  • Demonstrated ability to effectively negotiate with internal and external stakeholders, balancing organizational interests with relationship-building to achieve favorable outcomes and drive strategic initiatives forward.
  • Able to effectively present information in one-on-one, small group and phone situations, interacting with directors and officers, customers, members, vendors, partners and other employees of the organization.
  • Familiarity with the industry in which the organization operates is beneficial.
