Customer Service Support Administrative Assistant (Valhalla, NY)
Job Description
As a Customer Service Support Administrative Assistant you will support and manage the requirements of the biomedical technicians (Philips and hospital employed) to ensure the successful operations for our multivendor contract customers.
Your Role:
- Work closely with the hospitals rental request, purchase services, tools acquisition, return materials authorization (RMA's), tracking information, and order status.
- Maintain a database of test equipment calibration compliancy, communicate with biomed technicians on request status, open/close service work orders and any additional special requests Assist with vendor billing verification and posting to SAP
- Identify and escalate customer issues to ensure efficient resolution and satisfaction
- Performs all administrative duties within established Philips and regulatory timeframes, which may include timesheets, service work orders, expense reports, Field Change Orders, Lifecycle Solutions quotes and Order, site and service documentation, and other related paperwork.
- Your skills include being proficient in Microsoft Office Suite (word, excel, powerpoint, outlook) and familiar with CRM software; preferably Infoview and SAP
- You have acquired a High School diploma
- You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position.
- You have a strong ability to prioritize workload, skilled at multitasking, and have an excellent verbal and written communication skills.
We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week. Onsite roles require full-time presence in the company's facilities. Field roles are most effectively done outside of the company's main facilities, generally at the customers' or suppliers' locations.

Philips Transparency Details
The hourly pay range for this position in NY is $23.32 to $39.98, plus overtime eligible.
This is an hourly pay position, plus overtime eligible. This role also includes training, and advancement opportunities. The actual base pay offered may vary depending on multiple factors including, job-related knowledge/skills, experience, business needs, geographical location, and internal equity.
In addition, other compensation, such as an annual incentive plan, field service incentive bonus, sales commission or long-term incentives may be offered. Employees are eligible to participate in our comprehensive Philips Total Rewards benefits program, which includes a generous PTO, 401k (up to 7% match), HSA (with company contribution), stock purchase plan, education reimbursement and much more. At Philips, it is not typical for an individual to be hired at or near the top end of the range for their role and compensation decisions are dependent upon the facts and circumstances of each case.
