SUMMARY

The purpose of the Sales Coordinator is to perform clerical, administrative, and other duties to assist the DOS and Sales Managers in the operation of the Sales department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Guest Service
  • Maintains guest service as the driving philosophy of the operation.
  • Demonstrates a commitment to guest service in responding promptly to guests’ needs.
  • Ensures hotel standards and services contribute to the delivery of consistent guest service.
Sales Coordinator Operations
  • Responsible for the daily operations of the Sales department including clerical and record-keeping duties.
  • Maintains well-documented, accurate, organized and up-to-date file management to serve client and managers in the most expedient, organized and knowledgeable manner.
  • Promptly responds to customer needs and sales inquiries within two hours.
  • Prepares and send out Site Inspection forms
  • Provide Welcome Letters and Amenities to all VIP Guests.
  • Input all Group Rooming Lists into hotel reservation system.
  • Ensure all Group Billing is properly arranged in advance and paid prior to checkout.
  • Provide clients with all necessary group folios, receipts, and commissions if applicable.
  • Check to make sure all commission requests for groups are handed in.
  • Prepare any updates on resume pack made prior to weekly staff meeting.
  • Approach all encounters with guests and employees in a friendly, service-oriented manner.
  • Develops strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
  • Ability to effectively communicate with employees, guests and supervisors for optimum operation of the property and comply with Gulph Creek standards and regulations.
  • Assist General Manager with special projects as needed.
REASONING ABILITY
  • Ability to read and speak English and comprehend simple instructions, short correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees
  • Must be able to convey information and ideas clearly.
  • Must maintain composure and objectivity under pressure.
  • Demonstrate the ability to anticipate and solve practical problems or resolve issues.
  • Must be able to work with and understand financial information and data, and basic arithmetic functions.
  • Must be dependable and arrive to work on time always.
EDUCATION and/or EXPERIENCE
  • At least 1 year of progressive experience in a hotel or related field required.
  • Experience with Fosse is a plus.
  • High School Diploma or equivalent required.
