Job Title: Client Services/Hospitality Representative

Location: Boca Raton, Florida


Job Overview:

We are seeking a full-time Client Services/Hospitality Representative to join our team at the Boca Raton, Florida office. The ideal candidate will be responsible for providing exceptional front desk reception services and handling a variety of administrative and clerical tasks. This role requires a professional, organized individual who excels in multitasking and time management. The position is Monday through Friday, 8:30 AM to 5:30 PM.


Key Responsibilities:

  • Serve as the primary point of contact for all visitors, greeting clients, and handling reception desk duties.
  • Answer and direct phone calls efficiently.
  • Reserve and set up conference rooms for meetings, ensuring rooms are equipped and ready for use.
  • Manage kitchen pantry supplies, handle food orders for meetings, and ensure cleanliness.
  • Assist with copy/mail room tasks, including large print jobs, and assist attorneys with trial binder preparation.
  • Receive, scan, and process incoming and outgoing mail and packages (USPS, FedEx).
  • Coordinate messenger services for document deliveries.
  • Monitor office supplies inventory and place orders as needed.
  • Submit building maintenance requests when necessary.
  • Perform light filing, document changes, and assist with clerical projects.


Qualifications:

  • Proficiency in Microsoft Word and Outlook.
  • Strong time management, multitasking, and organizational skills.
  • Excellent verbal communication and interpersonal skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Experience in client services, hospitality, or office administration preferred.
