Position Overview

Evolve is seeking an experienced Estate and Trust Administration Paralegal to join a dynamic legal team. This role involves delivering high-quality service to clients while assisting attorneys in handling estate and trust administration matters from inception to resolution. The ideal candidate will possess a thorough knowledge of estate administration procedures, Florida court filing systems, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities

As an Estate and Trust Administration Paralegal, you will:

  • Provide paralegal support for estate and trust administration cases, ensuring all aspects are handled efficiently from inception to resolution.
  • Draft and file IRS forms and related correspondence.
  • Navigate Florida court filing systems to file pleadings in compliance with court requirements.
  • Schedule court hearings and client appointments, managing all related deadlines.
  • Manage electronic and paper case files and maintain reminder systems for deadlines.
  • Handle mail and correspondence with beneficiaries, creditors, and clients.
  • Draft, proofread, and format legal documents, correspondence, and pleadings.
  • Collaborate with firm-wide departments to handle responsibilities, including billing, training, and records management.
  • Communicate effectively with clients, attorneys, and staff, ensuring outstanding client service.


Qualifications & Experience

The ideal candidate will have:

  • A minimum of five years of paralegal experience in estate and trust administration, preferably within a mid to large law firm.
  • Experience working with multiple attorneys and balancing high-volume tasks.
  • Knowledge of Florida estate administration procedures and court filing systems.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with legal case management and billing software (FileSite, CMS, SmartTime, Aderant, HotDocs preferred).
  • Exceptional attention to detail, organizational skills, and the ability to multitask effectively.
  • Strong oral and written communication skills to draft and proofread correspondence and pleadings.
