JOB DESCRIPTION:
- Coordinate with dispatcher and clients to schedule maintenance inspection visits performed by field technicians.
- Review Daily Technician Maintenance work tickets; update and document changes and/or additional information provided; follow up with appropriate team member(s).
- Compile custom Maintenance Inspection Deficiency Reports based on individual client specifications.
- Schedule follow up specific maintenance inspection visits until complete.
- Maintain maintenance material lists for individual client sites.
- Procure coordinating materials for scheduled maintenance visits based on Maintenance Plan specific visit.
- Process maintenance requests and service work orders through email and phone calls for multiple clients.
- Supports dispatcher with daily tasks when dispatcher is not available or has personal time off.
- This is an inside position and all communication is done through the phone and computer - No field work is required
DUTIES:
- Communicate with clients – inside and outside.
- Responsible for documenting all client equipment, material lists and maintenance services accurately, timely and with continuity.
- Follow through maintenance plans from contract to renewal, making sure maintenance/inspections are clearly defined and documented.
- Communicate with technicians and client representative (owners) to ensure notes are accurate and properly documented.
- Prioritize work tasks and complete work in a clear and organized manner.
- Must be able to multi-task (actively listen and communicate while typing notes simultaneously).
- Follow and improve existing procedures and guidelines as defined by the service team.
EXPERIENCE AND SKILLS:
- Must be highly organized with ability to prioritize and multi-task effectively
- Must be focused and task oriented with strong follow up skills
- Must be proficient in Excel, Word, Outlook, and basic computer skills.
- Must have excellent customer service skills – candidate must be able to articulate effectively on the phone and email.
- Must be able to work under pressure on competing responsibilities with discretion and accuracy.
- Resourcefulness would be an asset.
- Ability to work in a team atmosphere.
- Must be honest and hard working.
- Live within 30 miles of Medford, NJ
