Responsibilities
Project Management
- Building agendas for internal and external calls - Be proactive to ensure all agenda’s are created 24 hours in advance of the meeting
- Take clear and direct notes on all internal and external project calls - Recap notes to be send out within 2 hours from meeting completion
- Set-up project documents upon kick off of each project Google Drive - Workback / Task List & Vendor invoice tracker
- Support team in driving deadlines and keeping workback schedule and deck up to date - Experience with Monday.com or other project management software and Slack is a plus
Budget Support
- Creating Purchase Orders
- Submitting invoices to be paid
- Ensuring expenses are coded properly and supporting other team members unable to submit expense reports.
- Tracking Invoices and ensuring payments are made on time
Sourcing items required for project execution - inclusive but not limited to the below;
- Office supplies
- Furniture / Decor
- Fabricated assets
- Uniforms
- Crafty
- Etc.
Vendor Management
- Supporting in creating vendor briefs
- Vendor payments
- Support driving deliverables
Asset Management
- Support large-scale asset management across multiple markets & teams - Inclusive of assets in-market, stored in warehouses and storage units
- Support in managing creative needs in accordance to asset production timelines
Capable of fully owning small parts of the project
- Included but not limited to the below:
- Premiums
- Equipment rentals
- Brand Ambassadors + Uniforms
- Hotel Room Blocks
- Registration
- Talent Vetting and on site management
- Internal and client travel & itineraries
- Mifis (mobile wifi plan management)
