11/15/2024Lake Forest School District 67 is seeking a 12 Month Administrative Assistant for the Teaching and Learning department.

Description: The Administrative Assistant for Teaching and Learning supports the Director of Teaching and Learning and the Teaching and Learning Department.

Starting Range: $20.34 - $22.42 an hour

Essential Functions:
  • Create and maintain professional development records in Frontline's Professional Growth, ensuring completion of evaluations and preparing information for employee reimbursement
  • Arrange conference registration for all Out of District professional learning opportunities, travel, and hotel accommodations
  • Process timesheets and submit to payroll twice monthly
  • Participate in the preparation, organization, and implementation of the activities for the New Staff Orientation, Institute Days, and any other special events
  • Assist with district and state assessments and surveys
  • Maintain and track the budget for the Teaching and Learning Department, including processing invoices and placing orders
  • Assist district coaches and other department chairs in ordering curriculum and other materials
  • Work with shipping and receiving on barcoding items and keeping track of what is coming in and going out for the district
  • Prepare and process procurement cards for the Teaching and Learning Department
  • Support the Director of Teaching and Learning and department for the purpose of providing assistance with their functions and responsibilities
  • Support Director of Student Services, Executive Director of SPED Education, Compliance and Grants and Data Manager on purchasing, budgets, inventory of materials, etc
  • Communicate ISBE Library Grant amounts to K-8 librarians. Maintain a spreadsheet of expenses, receipts and account codes
  • Assist with multilingual files, compliance, and data for multilingual students, including screening and ACCESS testing
  • Assist with the summer curriculum professional development and curriculum writing. Enter participant information in Frontline for academies and workshops, verifying attendance and awarding hours/payment
  • Serve as the summer school administrative assistant for June and August sessions
  • Preparing Regional Office of Education (ROE) paperwork for the upcoming year's institute days, verifying receipt and approval
  • Preparing site-based reimbursement paperwork for the ROE for professional development. Submitting paperwork to request the reimbursement, processing the check deposit to the correct account
  • Coordinate events and meetings for Teaching and Learning - create invitations, schedule rooms, order food, etc
  • Coordinate the calendar for the Teaching and Learning department
  • Process mileage reimbursement for teachers and administrators
  • Support staff with parent events
  • Perform other duties as assigned by the Director of Teaching and Learning

Qualifications:
Education, Experience, and Licensure (required and preferred)
  • High school diploma or GED, required
  • Bachelor's degree, preferred
  • 3-5 years secretarial or clerical experience in a school or district-office setting, preferred

  • Ability to interact and communicate (verbally and in writing) effectively with a variety of audiences
  • Strong interpersonal, collaboration, and organizational skills
  • Ability to prioritize workflow, problem-solve, adapt to change, and meet deadlines
  • Proficiency with Microsoft Office Suite/Google Workspace and school-based personnel and financial information systems
  • Works with speed, attention to detail, confidentiality, and consistency
  • Comfortable and pleasant demeanor in very active environments
  • Maintain professional appearance

Physical Demands & Work Environment:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk or hear, and taste or smell. The employee frequently is required to use hands to handle or feel materials. The employee is occasionally required to climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

In the work environment, the employee is regularly exposed to video display and regularly works in office environmental conditions. The employee occasionally works in the evenings or on weekends. The employee is occasionally exposed to outdoor weather conditions and occasionally works with the use of a personal vehicle. The employee will have contact with the public which requires appropriate demeanor and apparel. The noise level in the work environment is usually moderate.
