The Oregon Rail Heritage Foundation & Center is dedicated to preserving the rich history of rail transportation in Oregon while also providing educational and cultural experiences to the community. Role Overview:

We are seeking a motivated individual to join our team as a General Office and Communications Assistant. This role offers an exciting opportunity to contribute to the success of our foundation while gaining valuable experience in office management, communications, and marketing within a dynamic nonprofit environment.

Responsibilities:

General Office Management:

* Maintain a current and well-organized office filing system.
* Monitor voice mail and the general email address.
* Collect and distribute incoming mail.
* Handle inquiries and messages pertinent to the role.
* Assist in scheduling and coordinating meeting logistics.
* Maintain an accurate and up-to-date building events calendar.

Database Management:

* Ensure the accuracy and completeness of the ORHF database.
* Resolve data discrepancies and uncertainties.
* Manage the addition of new contacts and regular removal of duplicates.
* Update donor information consistently.

Donor and Member Support:

* Input data for memberships and donations accurately.
* Send out membership renewal reminders via postal mail and email.
* Prepare and dispatch thank-you letters and donation receipts promptly.
* Print and mail membership cards as necessary.
* Contribute to the development of strategies to enhance membership engagement and retention.
* Collaborate with the Development Committee on fundraising plans and their execution.

Marketing and Communication Support:

* Maintain a well-organized digital photography library for both internal and external use.
* Collaborate with the Marketing and Outreach Chair to craft the monthly ORHF email newsletter, including content creation, layout, and photo editing.
* Coordinate social media updates with an external marketing firm, ensuring timely postings and engagement with comments.
* Assist in generating content for various social media platforms, including sourcing or creating photos and videos.
* Support an external management firm in maintaining and updating the ORHF website.
* Support event planning, organizing, and execution.

Skills Required:

* Exceptional written and verbal communication abilities.
* Meticulous attention to detail and strong organizational skills.
* Capability to work effectively both independently and collaboratively within a team.
* A proactive approach to problem-solving and a willingness to contribute across various tasks.
* Ability to manage multiple projects simultaneously and prioritize tasks effectively.

Requirements:

* Flexibility to manage occasional weeknights and weekends for special event coverage.
* Proficiency or readiness to learn various software programs, including:
* Neon Database
* Constant Contact
* Volgistics Volunteer Management
* Fareharbor ticketing system
* Microsoft 365 suite
