EXECUTIVE ADMINISTRATIVE ASSISTANT
JOB SUMMARY:
The Executive Administrative Assistant is responsible for providing high-level administrative support to our CEO and CFO. This role requires the ability to handle confidential information with discretion, prioritize tasks effectively, and work collaboratively in a fast-paced corporate environment.
DUTIES AND RESPONSIBILITIES:
- Administrative support for the CEO, CFO, and staff.
- Manage calendars, schedule appointments, and coordinate meetings, ensuring efficient use of executives' time.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Prepare and distribute meeting agendas, documents, and follow-up on action items.
- Handle and prioritize incoming communications, including emails, phone calls, and correspondence.
- Draft and proofread emails, letters, reports, and other documents.
- Arrange domestic and international travel itineraries, including flights, accommodations, and transportation.
- Prepare travel expense reports and reconcile expenses in a timely manner.
- Organize and maintain electronic and physical files, ensuring easy retrieval of information.
- Assist in the preparation of presentations, reports, and other materials as needed.
- Coordinate logistics for meetings, conferences, and events, both onsite and offsite.
- Arrange catering, audio-visual equipment, and other necessary resources for successful events.
- Handle sensitive and confidential information with the utmost discretion and professionalism. Oversee office supplies and equipment, ensuring adequate stock and functionality.
- Collaborate with other administrative staff to maintain a well-organized and efficient office environment.
- Assist office personnel with various duties/project needs.
- All other duties as assigned.
EDUCATION AND EXPERIENCE:
- High School diploma required.
- Bachelor's or associates degree, business administration, or a similar field preferred, but not required.
- Experience: 5+ years' area experience.
TRAVEL:
- Travel Required: Possible to other plant locations or conferences as needed
- Ability to come to local office as needed

- Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind.
- Good analytical skills.
- Strong team player with solid communication skills.
- Ability to multitask and prioritize tasks effectively.
- High levels of integrity and ability to handle confidential information.
- Exceptional organizational skills with the ability to multi-task, attention to detail and manage competing priorities.
- Excellent verbal and written communication skills.
- Strong computer skills, including proficiency in Microsoft Excel.
- Organized and detail-oriented.
