Job Description:

Position Summary

Perform a variety of complex office tasks to provide support to the Allied Health Sciences Department.

Key Performance Indicators

* Complete and send correspondence for the department timely
* Provide department information and maintain accurate knowledge of programs
* Process applications efficiently
* Maintain accurate records

Essential Functions

* Perform clerical services for the Allied Health Department.
* Type letters, documents, and other correspondence for Allied Health Department programs. Assist with off-schedule and short-term classes pertaining to the Allied Health Department.
* Have tests, forms, and other items printed and/or duplicated and collated when needed.
* Help organize off-schedule classes within the Department.
* Maintain electronic records for all students enrolled in Allied Health Programs.
* Assist Allied Health Navigator with enrollment of students for the various programs within the Allied Health Department.
* Take messages for instructors when they are out of the office as well as answer the department's phones.
* Greet and assist members of the general public and have general knowledge of campus.
* Provide general information to prospective students.
* Process mailings and return tests to the National League of Nursing.
* Process applications and evaluations for all Allied Health Department programs.
* Mail acceptance and non-acceptance letters to individuals who have applied for acceptance into Allied Health Department programs.
* Supervise work study students assigned to the Allied Health Department.
* Assist with Allied Health program graduation, i.e.: send invitations and produce pinning programs that are distributed on day of graduation.
* Perform other clerical and related duties as assigned by Allied Health Department faculty and the Executive Administrative Assistant of Allied Health.

Ability to identify and express problems and develop solutions from alternative methods and procedures.

Ability to understand directions, ask questions for clarification, and demonstrate appropriate action.

Technical skills:

Excellent computer skills including proficiency with Microsoft Office, Google, PageMaker, Adobe Acrobat Pro, and spreadsheet software.

Proficient writing skills to create letters, summaries, emails, and professional reports. Ability to examine documents for accuracy and completeness.

Experience

Education:

Associate's degree or two years directly related full-time work experience.

Work Experience:

Three years full-time highly skilled, directly related work experience in addition to above criteria.

Industry Knowledge:

Experience in higher education, general office experience and familiarity with the local medical community.

Work Environment and Physical Requirements

Working in a professional office environment this position requires sitting, standing, stooping, kneeling, reaching, walking, pushing, pulling, light lifting, grasping, talking, seeing, hearing and repetitive motion.

Position may include evening and/or weekend work.
