Job Goal: Within established school or department procedural guidelines, the incumbent performs advanced, complex and high volume administrative support functions to complete assigned duties and comply with District policies and governmental agency regulations.

Job Qualifications:
  1. High School diploma or equivalent.
  2. 60+ college credits or an Associate's degree or specialized training or certification in related area preferred.
  3. Ten or more years of job related and commendable work experience preferred.
  4. Advanced knowledge of office management procedures, data and/or document processing functions.
  5. Outstanding customer service, multi-tasking, time management, organization, and interpersonal communication skills.
  6. Exceptional ability to build and maintain effective working relationships and interact professionally with all levels of staff, students, parents, vendors, clients, and visitors.
  7. Exceptional analytical, communication, and technical skills, and ability to take initiative.
  8. Advanced proficiency in MS Office Suite of Applications, automated school or departmental systems and an automated financial system as it applies to the requisition, purchasing, and coding processes.
  9. Works well independently and in a team environment.
  10. Demonstrated ability to use good judgment, follow through on assigned tasks, and maintain confidentiality.


Essential Functions:
Essential job functions may include, but are not limited to the following:
  1. Manage office workflow to meet school/departmental performance objectives.
  2. Prepare and distribute professional correspondence, reports, proposals and presentations.
  3. Respond to walk-in, e-mail and telephone inquiries with exceptional customer service skills.
  4. Manage school, department and/or administrator calendars.
  5. Make travel arrangements, manage itineraries and prepare expense reports.
  6. Plan and coordinate special school or departmental events and projects.
  7. Oversee and maintain an organized office and protect sensitive/confidential information.
  8. Access, retrieve and store records according to established file systems.
  9. Order and distribute supplies and equipment and control inventory.
  10. Take initiative to effectively resolve complex school/departmental issues.
  11. Project a professional image at all times.
  12. Perform general business and banking transactions, i.e., manage cash receipts, prepare bank deposits, purchase orders, account reconciliation, accounts payable/receivable and budgetary allocations/spending.
  13. Complete special or cyclical projects and additional tasks that reflect the nature of the actual work assignment.
  14. Assist building administrators in the oversight of the school/department office management including, providing input regarding the work performance/conduct of the office respective employee(s).
  15. Record and report student and/or employee attendance and reconcile to ensure accuracy.
  16. Commitment to professional development.
  17. Maintain acceptable attendance record.
  18. Other duties and special projects as assigned.
