The Office of Facilities Planning has a lengthy backlog of change orders, which need to be logged, reviewed by technical staff, data input electronically, approved, and filed. The office has several months' worth of boxes of change orders that we have been unable to catch up on. One factor in this backlog is position vacancies and another key factor is the increase in projects our office has processed due to Federal Stimulus funds. An increase in change orders is anticipated due to these projects. A temp will be useful in getting the backlog reduced or eliminated so that office staff can process the Change Orders when they arrive instead of having to set them aside in boxes to process the ones sitting in backlog. Other administrative work will be necessary as well to assist the team while vacancies persist.

Job duties are as follows:
" Answer office phones and review voice mail messages to direct callers to the appropriate OFP employee.
" Process Change Orders including entering the form into the Office's project management system, distributing the document to appropriate office staff, logging data, and filing paperwork.
" Processing completed permit applications, issuing permits, and filing associated paperwork, drawings, and specifications.
" Answer email and phone messages about change orders and office procedures, including directing inquiries to the appropriate pages of the OFP website.
" Assist in sorting through boxes of old resource books and guides to document the content and coordinate with staff on what can be recycled and what needs to be retained.
" Filing various completed documents.
" Other duties as assigned.
