Job Title: Remote Scheduling Specialist

Job Type: Full-time/Part-time

Responsibilities:

  1. Appointment Coordination: Efficiently schedule and manage appointments for clients to meet with travel advisors, ensuring timely and accurate scheduling.

  2. Calendar Management: Maintain and update calendars for travel advisors and clients, ensuring all appointments and meetings are recorded and communicated effectively.

  3. Client Communication: Serve as the primary point of contact for clients regarding scheduling inquiries, changes, and confirmations, providing prompt and courteous assistance.

  4. Meeting Coordination: Coordinate internal and external meetings, including arranging conference rooms and managing attendee schedules.

  5. Schedule Optimization: Continuously assess scheduling processes to identify opportunities for improvement and implement strategies to enhance efficiency and productivity.

  6. Record Keeping: Maintain accurate records of appointments, meetings, and scheduling-related information using appropriate software tools and systems.

  7. Collaboration: Collaborate closely with travel advisors and other team members to ensure seamless coordination of schedules and resources.

  8. Adherence to Policies: Ensure compliance with company policies and procedures related to scheduling and appointment management.

Qualifications:

  1. High school diploma or equivalent; additional education or training in travel and tourism or a related field is preferred.

  2. Proven experience in scheduling, appointment setting, or administrative roles, preferably within the travel industry.

  3. Excellent communication skills, both verbal and written, with a professional and friendly demeanor.

  4. Strong organizational and time management abilities, with the capacity to prioritize tasks effectively in a fast-paced environment.

  5. Proficiency in using scheduling software, calendar tools, and Microsoft Office Suite.

  6. Attention to detail and accuracy in maintaining scheduling records and information.

  7. Ability to work independently with minimal supervision, as well as collaboratively within a team.

  8. Customer-centric mindset with a commitment to delivering exceptional service and support to clients throughout their travel journey.
