Receptionist/Administrative Assistant

Principle Auto is seeking an engaging and amazing Receptionist / Administrative Assistant. You are an outgoing and friendly face who has a passion for organization and strong dedication for customer service. You understand how the details add up to make a bigger picture and drive the overall mission of the organization. You have a demonstrated ability to design and execute large scale projects with multiple moving parts. Responsibilities of the Receptionist / Administrative Assistant:

* Provide general administrative and clerical support including organization, filing, mailing, scanning, and copying.
* Prepare data in google sheets/excel at intermediate level, and modify documents including correspondence, reports, presentations, drafts, memos and emails.
* Schedule and coordinate meetings, appointments, and assist tenants as needed.
* Greet visitors and employees as they walk into the building.
* Be the liaison for vendors and clients to meet their needs and follow through with the task at hand.
* Answers phone calls and respond appropriately to the caller's needs.
* Assist the compliance department with projects for regulations for the federal, city, and state level.
* Assist the marketing department with invoicing to ensure completeness, accuracy, and compliance.
* Ensure accurate entry of invoice details following thorough invoice matching.
* Maintain organized records of invoices, purchase orders, receipts, and related documents for auditing and reference purposes.
* Perform all other related duties and special projects as assigned.



Qualifications of the Receptionist / Administrative Assistant:

* Previous office experience preferred.
* Ability to maintain performance in high pressure situations and under deadlines.
* Highly proficient computer skills needed with Google Sheets, Windows, MS Word, Excel, PowerPoint and Outlook required.
* High degree of professionalism to handle sensitive and confidential information.
* Must be able to provide quick turnaround of unanticipated requests and prioritize and organize workflow to ensure effective and efficient completion of assigned tasks.
* Excellent oral and written communication skills with a high degree of accuracy and attention to detail.
* Strong interpersonal skills exercising discretion and diplomacy in working with others including all levels of management.
* Strong business acumen and judgment necessary.
