OVERVIEW

As a Payroll and Benefits Specialist at our corporate office, you will be responsible for ensuring the accurate and timely processing of payroll for all employees, while also overseeing the administration of company benefits programs. You will monitor and enforce compliance with federal, state, and local labor laws and regulations, and ensure that all benefits offerings are properly communicated and managed.

ESSENTIAL FUNCTIONS

Administer bi-weekly payroll processing for multiple companies, ensuring accurate calculation of regular wages, overtime, bonuses, taxes, and all applicable deductions.
Serve as the primary point of contact for all payroll-related inquiries, collaborating with internal teams to gather necessary data, resolve discrepancies, and ensure the timely and accurate submission of payroll.
Manage unemployment claims, wage claims, and inquiries from the Department of Labor (DOL) and Human Services, ensuring accurate and timely responses.
Maintain strict adherence to federal, state, and local payroll regulations, including the administration of paid time off, medical leave, and tax withholdings.
Stay informed of legislative and regulatory changes that may impact payroll and benefits programs.
Oversee the input and administration of employee garnishments within the payroll system, ensuring accurate deductions and compliance with applicable laws.
Respond promptly to any inquiries or requests related to garnishments and other payroll deductions.
Manage the company’s benefits programs, including enrollment, processing of qualifying life event changes, and annual benefits audits.
Oversee 401(k) enrollment and related processes, ensuring compliance with regulatory requirements and company policies.
Perform monthly audits of ACA (Affordable Care Act) compliance to ensure adherence to regulatory standards.
Apply for and manage State and Local Tax IDs as required, ensuring compliance with all applicable state and local tax laws.
Ensure timely and accurate submission of tax filings and withholding for city, state, and local taxes, in accordance with all relevant tax regulations.
Collaborate with the accounting team to facilitate the monthly benefits reconciliation process, ensuring alignment between payroll records and financial accounts.
Conduct internal audits of payroll, benefits, and compliance-related programs to identify and address potential discrepancies or issues.

EDUCATION

Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

EXPERIENCE

2 years of payroll experience, preferably in a corporate office setting overseeing multiple companies
Strong problem-solving skills and the ability to think critically and strategically
Proven ability to manage multiple priorities in a fast-paced environment
Proficiency in HRIS systems and Microsoft Office Suite (Paylocity, Hotel Effectiveness, Employee Navigator, SharePoint, Outlook, Teams/Zoom meeting software, Indeed, and various API integrations)

ENVIRONMENT and PHYSICAL DEMANDS

The physical demands described are representative of those that must be met by the employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Most work will be performed indoors in moderate temperatures, controlled by hotel environmental systems. May need to sit, stand, or walk for extended periods of time (5 hours or more). Finger dexterity to operate office equipment, including but not limited to computer keyboard, multi-touch phone, photocopier among others, required. Grasping, writing, repetitive motions, and sitting are all required.

Vision occurs continuously with the most common visual functions being those of near vision and depth perception. Talking and hearing continuously in the process of communicating with guests and employees.
