Summary
Manager's Job Description:
  • $23/hr Temp to engage.
  • Vaccines are  required.
  • Looking for Someone friendly, organized, willing to learn and engage with clients, guests and visitors. 
  • Receptionists experience. Must be punctual. The shift begins sharply at 8:00am. 
  • This position maintains and monitors office operations and activity. Hours of Operation are 8:00 am – 5:00 pm, Monday through Friday. 
  • Reception handles all calls and serves as a strong representative of the Firm as well as coordinates conference room logistics & scheduling and ensuring the needs of visitors and office are met. 
  • There is no extensive lifting, standing or walking. 
  • May have to lift a box not weighing over 10-15 pounds. 
  • There is no driving required. 
  • No elaborate dress, business casual and neat. 
  • The worksite address is 120 Broadway Suite 300, Santa Monica, CA 90401 and parking is free.

Responsibilities:
  • Receives visitors and announces their arrival by immediately notifying appropriate personnel.
  • Escorts visitors and clients to appropriate conference room, offers beverages, takes coats, calls cabs, places conference calls and makes or confirms airline or hotel reservations as necessary.
  • Coordinates teleconference calls and works with the Telecommunication Staff to resolve any problems or issues.
  • Coordinates guest office accommodations, enters names of guest into security system, provides appropriate card key for visiting attorneys and distribute weekly guest list to office if so desired by the OMP or DOA.
  • Assists with various facilities related matters such as parking, maintenance requests, event planning, visitor registration, etc.
  • Assists with event planning and catering requests both on-site and off-site for office functions.
  • Coordinates maintenance / service activities with vendors and other service providers for the office.
  • Maintain breakroom, ordering snacks and related items.
  • Insure breakroom and other storage areas are organized.
  • Assist with billing, time entry, expenses, travel and other responsibilities.
  • Provides for special project assistance which may include, but are not limited to, office set ups, intra-office moves and clean up assistance.
  • Performs other duties as assigned or as needed in order to respond to a changing environment and the Firm’s needs.

  • 8:00 am to 5:00 pm (Mon to Fri).

Roles & Responsibilities
  • Provide reception coverage, greet clients, answer and route internal and external calls.
  • Process expenses and invoices using the firm’s software.
  • Provide administrative assistance including data entry, editing documents, saving documents to iManage etc. Create binders/folders for attorneys and legal secretaries.
  • Monitor conference room scheduling software to determine catering and technology needs for scheduled meetings. Reviews upon arrival and throughout day for changes.
  • Set-up conference rooms for meetings including coordination with IS, furniture reconfiguration and catering needs for scheduled meetings and events.
  • Book visiting attorney/guest offices, greet and escort to office.
  • Assist with other special projects as requested.
  • Perform other duties as assigned.
