Serves as Assistant to the Program Director in a support capacity.  Performs general recording keeping, office management, and report preparation duties.  Is responsible for coordinating the activities of the Policy council. Also is responsible for assisting with services as they relate to the transition of families into and from the Head Start Program, and coordinating training for staff as outlined in the Head Start Act, Performance Standards and Agency Written Plans in order to assure compliance with the ACF and the DHS guidelines. DUTIES AND RESPONSIBILITIES:
  • Maintain records on departmental matters, including but not limited to:  Average Daily Attendance; Staff Education and Degrees; Purchases; Maintenance Requests; and Supplies.
  • Handle incoming correspondence, reports, forms, and memorandum (both written and electronic) under the direction of the Department Director.  Maintain files on such correspondence as needed.
  • Design and update departmental forms as needed.
  • Monitor for compliance the on-going activities of the Policy Council.
  • Monitor the on-going in-service training of the Head Start/Day Care Centers.
  • Work with representatives from the various training Agencies and institutions to assure participation by staff in needed training.
  • Provide training and/or materials to field staff and parents regarding transportation/pedestrian safety and bus monitor regulations.
  • Develop, implement, and monitor for compliance an Agency Transition Plan.
  • Collaborate with other agencies, programs, and providers to assure transition into and from the Head Start Program, including local school systems and agencies serving parents with children zero to three (0-3) years of age.
  • Serve as transition staff liaison to serve providers and other community resources including school systems.
  • Provide/secure training and technical assistance to transition families.
  • Attend meetings, seminars, trainings, etc., as directed.
  • Serve as part of planning/preparation team for audits, reviews, and monitoring processes.
  • Serve as part of the program design and management team.
  • Prepares agenda, monitors, and maintains attendance for division’s Advisory Committee of Board Members.
  • Performs other related duties as assigned.
  WORKING CONDITIONS:Conduct work in a moderate paced office environment with frequent interruptions.  Possess strength and stamina to be able to remain in a seated position for up to 90 minutes at a time throughout the workday with a minimum of fatigue and discomfort.  Possess visual acuity and stamina to work at a computer for at least part of each day with a minimum of fatigue and discomfort.  Digital finger strength to handle moderate to heavy typing.  Upper body strength to lift and carry file boxes weighing 30 pounds for a distance of 30 feet.  Lower body strength to stand and walk throughout the workday.  Environmental demands include an air-conditioned building with fluorescent lighting and exposure to computer monitor.  Must be able to travel, if necessary, to Head Start centers and/or trainings as required. QUALIFICATIONS REQUIRED:
  •  Must be computer literate with respect to word processing, spreadsheet, and database programs.
  •  Proper use of grammar, spelling, and punctuation.
  •  Ability to plan time and set priorities.
  •  Ability to work with people of varied levels and diversity, including excellent use of tact and diplomacy.
  •  Ability to recognize and accept differing value systems.
  •  Ability to respect and maintain confidentiality.
  •  Pass OSBI background check.


About Community Action Agency of Oklahoma City:

The Community Action Agency of OKC/Oklahoma County was established in 1966, and initially was financed by the Economic Opportunity Act of 1964, which launched the nation’s “War on Poverty.” Eventually the funding was consolidated into the Community Services Block Grant (CSBG). The Community Services division was implemented early on, serving low-income residents of Oklahoma County. Early programs included implementing the Food Stamp program and offering a nutrition program for seniors at meal centers.Today the division has greatly expanded to offer legal assistance; tax assistance; summer youth programs; senior transportation to meal sites, medical appointments, and shopping; rent and mortgage assistance; and other community needs.HEAD STARTThe Agency’s first Head Start center opened its doors to 39 families in 1965. Within two years, nine new centers and 575 children entered Head Start in Oklahoma County. Today we have 26 Head Start classrooms in 15 public schools, and 98 Head Start classrooms total providing services to thousands of children in Oklahoma County.
