Patient Coordinator/Office Manager - Job Posting

Rehab At Your Place has been serving the Memphis pediatric community with excellent rehabilitation services since 1999. In 2011 we added developmental therapy to our existing occupational, physical, and speech therapy. Our company is based on the belief that the child’s potential is of utmost importance. Our entire team is committed to meeting the child and family's needs.  
Rehab at Your Place is looking to hire a highly qualified, dependable, energetic and caring individual as patient coordinator/office manager to join our team.  
Qualifications:

  • Must hold an Associate’s degree in a business-related field
  • Valid U.S. Driver’s License
  • Pass background check clearance
  • Energetic and enthusiastic with a love for helping others
  • Strong oral and written communication skills
  • Excellent interpersonal and documentation skills
  • Excellent organizational skills
  • Self starter who is able to work independently
  • Good working knowledge and ability to use/quickly learn EMR system, Excel, Word, Email, Internet, Insurance Websites, and Cloud Storage 
  • Pleasant, professional, team player
  • Ability to manage multiple tasks accurately
  • Ability to effectively problem solve
  • Experience in a pediatric clinic with speech, occupational, physical, and/or developmental therapy is a bonus
  • Available Full-time, M-F, 8:30a-4:30p

Responsibilities:

  • Maintain presence of office for staff and clients
  • Greet staff and clients upon entry into the clinic
  • Utilize EMR and Billing/Payment software
  • Answer phone calls professionally and confidently
  • Assist families with in-take paperwork
  • Respond to referral requests 
  • Track and work referrals from beginning until ready for their therapist
  • Enter patient information into data spreadsheets
  • Verify health insurance coverage for treatment
  • Track therapist availability and maintain patient tracker data spreadsheets
  • Track various contractual requirements (i.e., attendance, IFSP meeting compliance, etc.)
  • Call and Fax with Medical Offices as needed for Doctor Orders
  • Respond to emails, texts, calls, and voicemails
  • Monitor staff compliance 
  • Monitor and create new therapist staff files
  • Maintain process of tracking documentation received from service coordinators and other stakeholders
  • Standard clerical duties
  • Additional duties as assigned by Administrators
