Client Relations Specialist/Office Assistant

Key Responsibilities:
- Client Retention & Support:
- Conduct regular follow-ups with clients who haven’t engaged with services recently to re-establish communication and offer support.
- Handle client questions and concerns with professionalism, ensuring issues are resolved or escalated to the appropriate team member.
- Client Needs & Resource Coordination:
- Assess client needs and connect them with appropriate internal services (e.g., therapy, peer support) or external community resources.
- Serve as a liaison between clients and direct care staff, ensuring that referrals and support services are coordinated seamlessly.
- Office & Administrative Management:
- Answer phones, manage emails, greet visitors, and maintain a welcoming office environment.
- Maintain accurate and up-to-date client records, ensuring compliance with HIPAA and confidentiality standards.
- Support office operations by managing supplies, scheduling meetings, and assisting the leadership team with day-to-day tasks.
- Reporting & Team Collaboration:
- Prepare and present weekly reports on client engagement, retention, and satisfaction trends.
- Participate in team meetings, sharing insights and strategies to improve client services and enhance program effectiveness.
Education:
- High school diploma or GED required.
- Bachelor’s degree in a related field (e.g., Social Work, Psychology, Business) is preferred but not required.
- 1-2 years of experience in customer service or client relations required.
- Experience in mental health, healthcare, or human services is a plus.
- Strong organizational and time management skills to handle multiple tasks efficiently.
- Excellent communication skills, both verbal and written, for interacting with clients, staff, and team members.
- High attention to detail and accuracy in managing client records and documentation.
- Ability to work independently, take initiative, and function as part of a team.
- Technology: Proficiency with office software and experience with electronic health records (EHR) systems is preferred.
- Compliance: Must adhere to HIPAA regulations and maintain strict confidentiality of client information.
