Summary of Duties:

The Permanent Mission of Canada to the United Nations (PRMNY) seeks an organized and detail-oriented Senior Administrative Assistant to provide administrative and operational support to the office of the Royal Canadian Mounted Police (RCMP).

The Senior Administrative Assistant exercises a considerable level of initiative and discretion to ensure the efficient and effective achievement of program objectives and must be comfortable working independently given the travel obligations of the Program Manager
The Senior Administrative Assistant performs a range of senior administrative and operational support duties under the general supervision of the RCMP Program Manager - PRMNY Police and Corrections Advisor:
•    Performs a wide range of operational, administrative and clerical support activities to support RCMP resources at the Mission and within the associated Area of Responsibility (AoR);
•    act on behalf of the Program, as appropriate, to: prepare correspondence and reports on police matters; attend to a wide range of other operational/ management matters; and perform a variety of diverse duties as required by the Program Manager;
•    facilitates the effective and efficient operation of the RCMP PRMNY Office, which is responsible for police cooperation with several countries within its geographic area and mandate;
•    exercises a considerable level of initiative and discretion; handles and processes sensitive, classified and urgent material and information; and performs some duties normally carried out by the Program Manager.
•    Performs other duties as required.

 Area of Selection:

 ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Education:

Candidates will be required to provide proof of the completion of their education.

  • Bachelor’s degree from an accredited college or university
OR

  • An equivalent combination of education, training and experience.      
 

Language:

  • Advanced proficiency in English (reading, writing, comprehension, and speaking)
 

Experience:

  • A minimum of three years of recent experience* providing administrative support (e.g. coordinating logistics for travels, events, meetings, and responding to public inquiries, as well as providing client service regarding highly sensitive and confidential matters in a private or public sector organization.)
*Recent is defined as within the last 5 years.

 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

  • Ability to coordinate logistical arrangements and details for travel, meetings, events and receptions, preparing guest lists and coordinating the activities of vendors/suppliers
  • Ability to take initiative to identify, troubleshoot and solve problems.
 

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Recent experience working in government or a foreign mission.
  • Knowledge of international relations and Government of Canada - RCMP foreign policy objectives. 
  • The ability to communicate effectively in French, both orally and in writing.
*Recent defined in the last 8 years.

 

Operational Requirements:

  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week.
  • Location of work: In-office.
  • Occasional overtime, including evenings and weekends, may be required.
 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
