Primary Responsibilities:

Provide support for an advanced research and development program. Administrative support position descriptions are for an Executive Assistant and administrative support. The executive assistant to provide support to program leadership. Executive assistant functions include answering/transferring calls, scheduling engagements, reserving conference rooms, maintaining program organizational calendars and schedules as requires, as well as maintaining emergency data and roster system. Provide security escort for visiting personnel as required.

Executive assistant candidate to prepare and process travel order requests and vouchers/sub-vouchers in accordance with NAVPERS instructions and joint regulations for program leadership. Maintain records of travel order/voucher submittals and track progression as required.

Provide security assistance for program leadership. Be responsible for processing base access requests and incoming visitors in accordance with base and facility operating guidelines to ensure individuals are briefed to program. Ensure visitors obtain access to the base and building, certify and send/receive visit requests to hold discussions regarding program material, and maintain files for incoming and outgoing program visit requests in accordance with DoD directives.

The administrative/OPS support candidate will be responsible for assisting in the processing of incoming and outgoing organizational personnel in accordance with base and facility processes and guidelines. Badge visitors in accordance with facility standard operating procedures. Verify incoming/outgoing personnel to ensure individuals are briefed/debriefed to program; initiate appropriate actions to ensure personnel access to base and building in conjunction with the security administrative assistant. Maintain and provide Welcome Aboard packages. Ensure a visitor control desk is manned Monday through Friday from , except federal holidays. Verify personnel entering building for visible badge identification and request removal of any unauthorized electronic devices; assist visitors to designated areas; maintain visitor logbooks and master files; and schedule and maintain conference room use. Provide other administrative support as assigned.

Maintain office supply stocks and order supplies as necessary to meet organizational needs. Research GSA catalogs and outside vendors to determine potential sources of supply, use congressional mandated sources as required, prepare and staff procurement requests forms for purchase.

Required Education: High School diploma or GED.

Required Experience:

Candidate must have at least five (5) of experience in DoN Program Management activities.

Desired Experience:

Candidate should be highly proficient in general computer software products (Outlook, Word, Excel, Adobe, etc.) Have experience with copiers, printers, and databases.
Candidate should have demonstrated good oral and written communication skills.
Candidate should have knowledge of the DoN organizational structure.
Candidate should have experience working in a dynamic, schedule constrained, complex security environment, and the ability to work well with others.

Allowable Experience/Education Substitutions: Experience cannot be substituted for education.

Security Clearance Required: A final DoD Top Secret clearance.

Estimated Travel: 10%

Location: On-site Patuxent River, MD. Telework is not offered.
