Job Description:

The Office Services Coordinator will support the HR Office Services and Reception functions, ensuring smooth day-to-day operations. This role also includes providing backup support to the Receptionist during breaks and time off, with regular interaction across various departments.


Key Responsibilities:

  • Maintain kitchens and clean equipment (coffee machines, refrigerators, microwaves) daily.
  • Set up and break down food arrangements for meetings and company events.
  • Reserve the lower-level conference room and assist with meeting requirements.
  • Conduct regular checks of conference rooms, adjusting chairs, wiping down tables, and restocking supplies.
  • Restock kitchen snacks and beverages regularly.
  • Order and track inventory of office supplies, food, and essentials for multiple locations.
  • Assist with monthly expense reports using Concur for tracking team expenditures.
  • Handle incoming mail and distribute it appropriately; manage outgoing shipments via UPS, DHL, or USPS.
  • Troubleshoot and report any office equipment issues to IT.
  • Support the coordination and setup of monthly office events.
  • Update digital content on monitors to share company announcements.
  • Maintain the Office Services Handbook with current processes and contacts.
  • Distribute welcome kits to new hires and assist with shipping promotional items for the Marketing team.
  • Provide support to the HR and Office Services Lead on special projects as needed.


Qualifications:

  • Previous experience in office services, administration, or a similar role is preferred.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage time effectively.
  • Familiarity with Microsoft Office Suite; experience with Concur is a plus.
  • Excellent communication and interpersonal skills.
