The ideal candidate will provide essential administrative support, including managing communications, organizing files, scheduling appointments, and assisting with various office tasks. This role requires someone tech-savvy and adaptable, with the ability to quickly grasp and utilize new software tools to enhance office efficiency and productivity.

Responsibilities:
  • Provide general clerical assistance
  • Utilize and manage various software programs.
  • Assist with daily company software management
  • Proficiency in MS Office 365 (Word, Excel, PowerPoint, Teams):  preparing documents, reports, presentations, and collaborating with the team.
  • Maintain digital file management and organization of client records, events, and related documents.
  • Take meeting minutes and accurately document discussions and decisions.
  • Maintain inventory of office supplies and place orders when necessary.
  • Efficiently manage calendars, schedule meetings, and coordinate appointments.
  • Manage office correspondence: sending out presentations, packages, mail, and samples.
  • Coordinate travel arrangements: booking flights, accommodation, and preparing itineraries.
  • Assist in client meetings and viewings by preparing presentation materials and managing welcome screens.
Requirements:
  • Proven experience as an Administrative Assistant or in a similar role.
  • Comfortable working with various software programs and learning new software
  • Strong proficiency in MS Office 365 applications (Word, Excel, PowerPoint, Teams)
  • Excellent organizational and time management skills with a keen attention to detail.
  • Ability to manage calendars, and schedules, and prioritize tasks effectively.
  • Experience in digital file management and maintaining organized systems.
  • Exceptional written and verbal communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
Bonus if you know or understand the trade show, events, exhibits, or construction industry.
